Managing Contact with the Client

The worker can create and maintain meetings, meeting minutes, notes, attachments and communications on the application case.

Meetings

Workers can schedule meetings with clients in order to complete the information on an application case. For some programs, a meeting with the client may always be required with the client before program authorization. For other programs, a meeting with the client is only required if there are issues such as missing or conflicting information on the application case. Meeting Minutes

The record meeting minutes wizard provides functionality for recording general meeting details, adding meeting notes, listing meeting decisions, marking attendees, outlining actions, attaching files, and associating cases that were discussed. These meeting minutes can be automatically issued to meeting attendees, declining invitees, and other interested persons via email. Notes

The worker has the ability to capture and maintain notes that are specifically related to an application case. A history of notes is also maintained.

Attachments

An attachment is a supplemental file, e.g., a text document, that is attached to an application case. The agency can attach scanned documents that provide information in support of an application case such as a birth certificate or bank statement. A range of file types are supported including Microsoft® Word, Microsoft® Excel and PDF. The system does not restrict the file size of the attachment although the agency may wish to set a limit using an environment variable. Once the file is attached to the application case, it may be accessed by other system users who have appropriate security privileges.

Communications

The agency can create and manage communications regarding clients on the application. Communications can include phone calls, emails, and letters. Communications can be free-form or based on templates. Additional communication features include the management of both incoming and outgoing communications, as well as support for displaying a list of communications that relate to the clients on the application.
