Creating the Application Case Records

For online applications, and internal application forms, once all of the clients have either been matched or registered, the application case is created. The type of application case to create is determined based on configuration settings for each program applied for. Multiple application cases can be created at this point if each program applied for has a different application case type configured. If the same application case type is configured for more than one program on the application, then a single application case is created for those programs.

When the application case is created directly, the worker selects the type of application case to create.

The application case status is set to Open.

Setting the Case Reference

A case reference is generated when the application case is created. Both an application case reference and an application reference are displayed in the application case list for a client, including application cases that are created directly by the internal worker. For applications submitted online, and application forms submitted internally, the application reference can be used to find all application cases created when an application is submitted for multiple programs that results in multiple application cases being created.

Recording the Case Participants

All clients on the application are recorded as case participants on the application case.

Setting the Owner of the Application Case

The owner of the application case is determined based on the ownership strategy configured for the application case, and the channel through which the application was submitted. Separate ownership strategies can be defined for online applications and internal applications. For example, an organization may want to configure that all online applications are assigned to a workqueue, whereas application cases created internally are assigned to the worker who created them.
