The repository is the place where all your Business Leader
documents are stored. Documents can be public documents, which means
that they can be viewed in any Business Leader space, or they can
be draft documents, which means they can be viewed only by the document
owners and the spaces which have edit access to the document. Any
public document in the repository can be added to your space so that
you can link to or reuse the document in your own Business Leader
documents. For example, you might want to reuse a process map that
has been built in another team's space because that process map represents
a sub-process in one of your own process maps.
Before you begin
You can search for public documents and documents that you
own from the Documents view in your Business Leader space.
- Click the
button in the Share toolbar. The Repository search dialog opens.
- Select either to search for public documents or documents
of which you are the owner.
- Type a string to search for documents by name. Use "*"
as a wildcard character to represent zero or more characters in the
document name. For example, searching for "*sales*" will return all
documents which have "sales" anywhere in the document name.
- From the list of documents that are returned, you can select
a document or multiple documents and perform any of the following
steps:
- Add the selected documents to your space so you can quickly
view and link to these from your own maps, by clicking the Add to
Space
button in the Share toolbar. The document appears
at the root of your document list. When you add a document to your
space, you are not changing the location of the document in the repository.
Rather you are bookmarking the document so that you and other members
of your team can view the document in your space, and reference or
link to the document within your own maps.
- Request edit access to a selected document by clicking the
Request Edit Access
button in the Share toolbar.When
you request edit access to a document, you are requesting edit access
for the Business Leader space. This means that all members of your
space will be able to edit the document if access is granted.
- If you are the owner of a document, you can also make the
selected document or documents public by clicking the Make Public
button. When you make a document pubic, all users in other
spaces can find and view the document in the repository, and reference
it from their own documents.
