Creating tasks scenario

This scenario describes how you can use a business space to create tasks for other people.

This scenario uses widgets that contain content from WebSphere Process Server. To run the scenario, WebSphere Process Server must be installed.

The scenario uses the pages and widgets of a space created from the Managing Tasks and Workflow template. Some of the steps and information might not apply for your situation. Adapt the scenario to fit your needs.

The scenario is an example of how to use Business Space to create tasks for other people. Imagine that you've made updates to a policy document and you need these updates approved by the managers of the departments that are affected by the changes. To fulfill your operating procedures, a majority of the managers must approve the changes.

Your responsibilities include updating policy documents and ensuring that the changes you make are approved. To perform these responsibilities, you use Business Space to complete the following steps.
  1. You log onto Business Space and open the space that you use for creating approval requests.
  2. You switch to the Create Tasks page and create an approval request using the Create Tasks widget.
  3. In the Task Information widget, you enter the user ID of the approver, describe the updates that you've made to the policy document, and attach the document for approval. You repeat this step to send an approval request to each of the document approvers.
  4. On the day when the approvals are due, you check the progress of the approval requests using the Tasks I Created widget. You filter the tasks that are shown in the All tasks list to show only those that are finished. You notice that all but one of the managers has approved the document.
  5. Because your process requires that only a majority of the reviewers approve the changes, you decide to delete the one outstanding approval request. In the Tasks I Created widget, you filter the tasks in the All tasks list to show those that you submitted, and delete the outstanding request.
Your updated policy document is approved.
