Use the Tasks List widget to work with different
types of tasks, for example, tasks that you own, or tasks that are available
for you to work on. If you own
the page that the widget is on or if you have permission to edit the page,
you can also configure this widget.
Using Tasks List
In the Tasks
List widget, you can perform various actions, depending on whether
you created, manage, or own the tasks. How you perform the actions can differ
depending on whether the content of the widget is displayed as a table or
a list.
- To display other lists of tasks perform one of the following:
- To display other tasks that you are authorized to view or work with, use
the first drop-down list in the actions bar to select a different task list.
- To display tasks for which you have a special authorization, for example,
tasks that you own, created, or can manage, use the second drop-down list
in the actions bar to select a different authorization filter.
- To filter the displayed tasks further, perform the following:
- Select the property that you want to filter by:
- If your tasks are displayed in a table, move the mouse over the column
header for the property that you want to filter by, and click the search icon
that appears on the left.
- If your tasks are displayed in a list, use the Set Filter box
to select the property you want to filter by.
- For the property that you selected, specify filter criteria that are appropriate
for the property type.
- For a text property, enter the text that the displayed tasks must contain
in that property.
- For a date property, you either can select
one of the predefined standard filters such as Until now, Yesterday, Today, Tomorrow, or From now. Select Date.... to
specify a particular date, or select Date range.... to
be able to specify dates for Since, or Until,
or both.
- Depending
on whether priority attributes are displayed numerically or graphically, you
can either specify a number or select one of the priority graphics.
- For a numerical property, you can enter
a number and select the comparison operator, for example "<", ">", or the
default value "=".
- For an enumerated property that has a
limited set of predefined valid values, you can directly select one of the
possible values.
- For a Boolean
property, you can select whether the value must be true, or clear the option
to specify that the value must be false.
- If
your tasks are displayed in a table and the navigation style Fit
to view is used, you can jump to a specific item in the list by
entering the item number in the pagination bar.
- Click the search icon to display the tasks that match the filter criteria.
The filter criteria are displayed above the tasks list with two icons: You
can click the pin icon to save the filter for the current list, the icon changes
to indicate that it has been saved, clicking the icon again removes the filter.
If you click the eraser icon the list will be displayed without any filtering,
but all saved filters remain available.
If you save the filter, it
is added to the first drop-down list in the actions bar for the current task
list. Selecting the saved filter from the list of saved filters also resets
the task list and the authorization filter to the same filters that were selected
when the filter was saved. When you clear the saved filter, it is removed
from the list of saved filters. All saved filters are lost when you log off.
- You can restrict the filtering further by selecting and specifying filter
criteria for one or more other properties. The new filter criteria are added
to the existing criteria shown in the widget's actions bar.
- To sort the tasks that are displayed:
- If your tasks are displayed in a table, move the mouse over the header
for the column that you want to sort by, and click the sort icon to change
the sort order.
- If your tasks are displayed in a list, use Sort By to
select the property you want to sort by. To change the sort direction, click
the sort icon.
- For tasks that you own, you can perform the following actions:
- To work on one or more tasks,
select them and then click Edit. The tasks open in
the Task Information widget. If a task is part of a workflow
that you are authorized to access as a reader, the workflow is shown in the Human
Workflow Diagram widget.
- To return a task to the
set of available tasks, select the task and then Return from
the Actions list.
- To transfer a task to
someone else, select the task and then Transfer from
the Actions list.
- For tasks that you created, you can perform the following actions:
- To open the task, select
the task and then Open from the Actions list.
- To delete the task, select
the task and then Delete from the Actions list.
- For tasks that are available to you, you can perform the following actions:
- To open the task, select
the task and then Open from the Actions list.
- To accept the task, select
the task and then Accept from the Actions list.
- If you are authorized
to assign the task to another person, select the task and then Assign from
the Actions list.
- For tasks that you can manage, you can perform the following actions:
- To open the task, select
the task and then Open from the Actions list.
- If you are authorized
to assign the task to another person, select the task and then Assign from
the Actions list.
- To return a task to the
set of available tasks, select the task and then Return from
the Actions list.
- To work on one or more tasks,
select them and then click Edit. The tasks open in
the Task Information widget. If a task is part of a workflow
that you are authorized to access as a reader, the workflow is shown in the Human
Workflow Diagram widget.
- To accept the task, select
the task and then Accept from the Actions list.
- You can also perform some common operations by dragging and dropping tasks
from one widget to another:
- To accept a task, drag it from the Available tasks list
and drop it in the Tasks I own list.
- To return a task, drag it from the Tasks I own list
and drop it in the Available tasks list.
- To transfer a task that is in the Tasks I own list,
drag it and drop it on a person in the Team List list.
Configuring Tasks List
To configure this widget, open the widget
menu and select Configure to see the following configuration
tabs. If the configure option is not available to you, you are not authorized
to configure the widget.- On the Content tab is the Select tasks
list to display
field, which contains a list of all task lists that you can make available
to the user of the widget. You can use this tab to perform the following:
- To make more lists available to the widget user, change the default list,
or to make available lists unavailable, click Add task lists,
then in the window that opens, you can select a task list to add, clear a
selected task list, or change the default list for this widget. Initially, All
tasks is selected as the default that will be used when a drill-down
is performed, this means that the widget receives a filter event.
- To configure which properties are displayed in a particular tasks list,
select the list, then check the boxes for the properties for the information
that you want the widget to display, and clear any that you do not want displayed.
To change the order in which the information is displayed in the widget, select
a property, then click one of the arrows to move the property up or down in
the list. When the List View layout is used, the first
property in the list is used as the title for the entries in the task list.
- On the Filter tab, you can select which of the
authorization filters are available to the widget user. You can select between All
Tasks I can Access, Tasks I own, Available
Tasks, Tasks I Own and Available Tasks, Tasks
I Created, and Tasks I Manage. Select a
filter and click Set as Default to make it the default
authorization filter. The default authorization filter is also used during
any drill-down filter scenarios.
- On the Display tab, you can select how the tasks
list is presented.
- Select Table View to display the tasks list as
a table, with one task per row, and one column for each displayed property.
Then choose a navigation style.
- Fit to view (Multiple pages) provides
a pagination bar at the bottom of the table.
- View all (Scroll bar) provides
a vertical scroll-bar for the list.
For this option, you can also specify how many list items are displayed, the
default is 100.
- Select List View to display the tasks in a list.
Then for each property you can select whether the information labels are displayed
or not. The default is that the labels are not shown, which minimizes the
screen space used to display the tasks in the widget. You can also change
the number of tasks displayed, which has a default value of 100.
- On the Refresh tab,
you can select how the contents of the widget are refreshed.
- Select Manually if the widget user must cause a
refresh by selecting Refresh from the widget menu.
- If the widget content should be refreshed automatically, select Automatically and
specify the refresh interval in minutes, or use the default interval of one
minute. If there are a large number of users, you should avoid using a short
automated refresh interval because of the extra load that it will cause on
the backend-systems.
Depending on the wiring between the widgets, the contents of one widget
might also be refreshed as a result of an action in another widget.
- On the Priority tab, you can specify the sort
priority, representation, and priority ranges:
- Select the sort order for priorities. This determines for example, whether
smaller or larger numbers are used to indicate a higher priority.
- Select how task priorities are displayed:
- Selecting Numeric representation means that priorities
are displayed as integers, for example values between one and five.
- Selecting Graphic representation means that priorities
are displayed as graphics for high, medium, and low. If you select this option,
you can also specify the two boundary values between the high, medium, and
low priority ranges.
