The Managing My Team's Tasks scenario
describes how you can use a business space to monitor and manage your
team's work and to also work on your own tasks.
This scenario uses widgets that contain content from WebSphere® Process Server and WebSphere Business Monitor. If a product
is not installed, Business Space replaces
its widgets with an image and a message.
If a space based on
the Managing My Team's Tasks template is not
available, see Creating a Managing My Team's Tasks space for
an example of creating a space using this template. Some of the steps
and information might not apply for your situation. Adapt the scenario
to fit your needs.
In the Managing My Team's Tasks scenario,
you manage the workload of your team. The scenario uses the pages
and widgets of a business space created from the Managing My Team's Tasks template. Managing My Team's Tasks expands
on the Managing My Tasks scenario,
which means that you also perform the tasks described in the Managing My Tasks scenario.
In
this scenario, your team is responsible for sending out quotes for
orders. As a supervisor, you need to balance your team's workload
and ensure that high-priority tasks are handled quickly. To perform
these responsibilities, you use Business Space and complete
the following steps:
- Log onto Business Space and
open the space that you use for supervising your team.
- In the Managed Team Tasks page, set the My Team's Tasks widget
to display open tasks organized by owner so that you can see your
team's workload. To do this, set the Group by field
to owner and set the Show field
to In progress.
Note: If a team
member does not have any in progress tasks, My Team's Tasks does
not display that person. Additionally, that person is not included
in the calculation of team workload. For example, if a team has three
members and two of the members have one task each, My Team's Tasks displays
just the two members and shows each member has 50% of the tasks.
- You notice that one team member has too many tasks to complete
them on time, so you decide to transfer a critical task to another
team member.
- Select the task. The Team List updates
to show the users who are eligible to work on the task.
- Drag the task onto a user in the Team List widget. When that user opens a business space containing a My Tasks widget,
the user will see the task.
- At the end of the day, you want to see how your team is
performing. The Analysis page can provide you with this information.
- Using the Dimensions widget,
you check how many order requests each team member has processed this
day and the total number of order requests that the team has processed.
You also check on the number of order requests that are still in progress.
- Using the Reports widget,
you check whether the average age for order requests is trending to
older, which you use as an indicator that your team is having problems
with closing order requests.
You notice that one of your team members is not processing
as many tasks as other members of the team. You interview the team
member and discover that the team member has not been sufficiently
trained in handling certain types of order requests. You then arrange
for additional training for the team member.
