IBM Enterprise Records, Version 5.1.+

Configuring the workflow batch size

This configuration setting specifies the maximum number of work items stored in a workflow batch for review/disposition-related workflows.

To change the workflow batch size value:

  1. Log on to the IBM® Enterprise Records application as System Administrator.
  2. Select the Configure tab.
  3. Click System Configuration.
  4. The Configuration Items page displays. Set the value for the workflow batch size. By default, this value is 10.
  5. Click Apply to save the changes.
  6. Click Exit to cancel or close the Configuration Items page. With the exception of the Screening workflow, the application groups all review and disposition-related workflows into batches, based on reviewer, action type, and action. (The Screening workflow is batched by reviewer only.) Therefore, if a reviewer has 100 entities whose disposition schedules use the same action type and action in the disposition phase that is to be executed, and the workflow batch size is set to 20, then the system launches 5 separate workflows, each having 20 items for review. if an entity is participating in a Vital Review workflow, the application checks the entity's Vital Review Action metadata to determine if the action is the same. For other workflows, the application checks the entity's Current Phase Action metadata. As a brief example, consider the following:
    Workflow 1: reviewer = Bob, action type = Destroy, action = MyDestroyAction1
    Workflow 2: reviewer = Bob, action type = Destroy, action = MyDestroyAction1
    Workflow 3: reviewer = Bob, action type = Destroy, action = MyDestroyAction2
Workflow1 and Workflow2 will be in the same batch. Workflow3 will be launched separately.
