IBM Enterprise Records, Version 5.1.+

Deleting a category, folder or volume

You cannot delete a record category that contains other record categories, record folders, volumes or records. However, you can delete a record folder or volume that contains records. Also, you cannot delete a container entity on which you placed a disposition hold. In the Base and DoD data models, a record category can be deleted both by the Records Manager and the Records Administrator. However, in the PRO data model, a record category can be deleted only by the Records Administrator.

You can delete a container entity in the following ways:

For more information about disposing of entities by using the Destroy action, refer to Destroy workflow.

By using either method, the entity is logically deleted, that is, you can no longer access it from the IBM Enterprise Records application, but it remains in the object store, or it is permanently deleted from the object store. How the entity is deleted depends on whether the file plan is configured to retain metadata. See Configuring retaining metadata.

To manually delete a single container entity:

  1. Browse the file plan to access the entity that you want to delete.
  2. Right-click the name of the entity and select Delete.
  3. Click Accept to confirm or Exit to close without deleting.

To manually delete multiple folders and multiple records, multiple categories, or multiple volumes from the same page:

  1. Browse the entities to be deleted.
  2. Select the check boxes to the left of the entities that you want to delete.
  3. From the Multi-Select Actions menu, select Delete.
  4. At the Delete window, verify the entities that you want to delete are selected items and click Delete.
  5. In the confirmation page, click the asterisk next to each entity that fails the delete request for additional information about that entity.
  6. Click OK to return to the Browse page.
