Export workflow with mapping

The Export workflow with mapping uses a transfer mapping object to copy entities to a specified location at the end of the retention period of a phase. Use the export workflow with mapping if the exported entities include custom properties and you are exporting entities to an organization that uses the DoD V3 schema, such as the National Archives and Records Administration (NARA). When you export a physical or hybrid entity, only the metadata of the entity is exported. For an electronic entity, both the metadata and content of the entity are exported.

For more information about transfer mapping objects, see Transfer mappings. The Export workflow launches when you initiate disposition for entities. The Approve step shows entities that are due for export.

To approve or reject the export of entities:

  1. In the Transfer Mapping field, select a transfer mapping object from the menu,
  2. Enter your review decision and any comments related to your decision.
  3. In the Export Destination field, enter the path to the location where the data is to be exported.
  4. For physical records, specify a location and verify that the items were physically moved to their new location before marking them approved.

After you specify the export details and complete the workflow, data is transferred to the specified locations. A transcript file is generated and referenced in a new Transcript work item. To access the XML transcript file, open the work item, click the Expand Attachment Items icon, and click the name of the transcript file.
