Creating the report template

This topic describes how you can create a report template in Crystal Reports.

Completion of this task requires that:

To create the report template:

  1. Start Crystal Reports Designer, and open a blank report.
  2. Use Crystal Reports Designer Database Expert dialog to establish a connection to Content Engine.
    1. In the Database Expert dialog, select JDBC.
    2. Make sure the Connection URL is correct, and enter the user name and password to establish the connection to Content Engine.
  3. In Database Expert:
    1. Add the following SQL Command:
      Select F.PathName, RCR.ContainmentName, MK.MediaType, MK.DateCreated, MK.Creator from (Markers MK Inner join ReferentialContainmentRelationship RCR on MK.This=RCR.Head) Inner join RMFolder Fon F.This=RCR.Tail where MK.DateCreated >= {?start_date} And MK.DateCreated <= {?end_date} And MK.MediaType = '{?media_type}' And MK.this insubfolder '/{?fileplan_browse}'
    2. Create these four parameters, all of type String: start_date, end_date, fileplan_browse, media_type. The parameter name must match the symbolic name of the CE Property Template.
  4. In Crystal Reports Designer:
    1. Define these Formula Fields:
      start = Date(Left({?start_date},10))
      end = Date(Left({?end_date},10))
      EntityName= {Command.PathName} + {Command.ContainmentName}
    2. Define the Report UI, with the following Details Sections fields:
      Creator: Command.Creator
      DateCreated: Command.DateCreated
      MediaType: Command.MediaType
      @EntityName: Formula EntityName.
  5. Save this report to the Samples folder under the Crystal Reports installation path. For example:

    C:\Program Files\Business Objects\BusinessObjects Enterprise 12\Samples\en\Reports\ Detailed Physical Records By Media Type Created.rpt

  6. Preview the report from Crystal Reports Designer.
  7. Click Refresh to enter the appropriate values for each parameter:

    start_date 2008-01-01 Check the datetime format setting in Crystal Reports Designer
    end_date 2008-12-31 Check the datetime format setting in Crystal Reports Designer
    media_type paper

You have now created the detailed report template, Detailed Physical Records By Media Type Created.rpt.

This template is for a Base data model file plan object store (FPOS). If the template is for the DOD Classified data model, save the template as Detailed Physical Records By Media Type Created DoDClassified.rpt.

This sample creates a detailed report only. You can create another summary report and save it as Summary Physical Records By Media Type Created.rpt.
