Retain metadata

By default, when a record category, record folder, volume, or record is deleted (either manually or by disposition sweep), the entity is permanently removed from the object store. However, the system administrator can configure the system such that the metadata for each deleted entity is retained. If the retain metadata option is configured, then the entity is only logically deleted from the system.

This means that the entity is not visible in the IBM® Enterprise Records application, but continues to persist in the object store.

If a container is deleted and the system is configured to retain metadata, then the metadata of any contained entities is also retained with one exception: if the contained entity is a record and the record is filed in more than one container, then the record is simply unfiled from the deleted container.

You configure the retain metadata option at the file plan level, and therefore the configured setting applies to all entities in the file plan. Note that all metadata for an entity is retained, including metadata that specifies links and any audit log entries. The system administrator can export these deleted entities and all their metadata for historical purposes, then permanently delete the entities from the object store.
