Destroy workflow

The purpose of the Destroy workflow is to ensure that entities are destroyed at the end of the retention period of the phase with which the Destroy workflow has been associated. After launching the Destroy workflow, the entities are either logically deleted (that is, you can no longer access them from the IBM® Enterprise Records application but they remain in the object store) or they are permanently deleted from the object store. This depends on whether the file plan is configured to retain metadata.

The Destroy workflow launches when you initiate disposition. The approve step lists entities whose destruction needs to be approved.

For general information about how to complete this workflow, see Use the disposition workflows. To approve or reject the destruction of entities, consider the following decision points:
  • For electronic entities, enter your review decision and any comments related to your decision.
  • For physical entities, enter the method by which to destroy each of the displayed physical entities.

After specifying the details for destruction and completing the workflow, the approved entities are destroyed and a transcript file is generated and referenced in a new Transcript work item. To access the XML transcript file, open the work item, click the Expand Attachment Items button, and click the name of the transcript file. The file shows the destruction success or failure for each entity and other details.
