Two-step Transfer exports entities to a specified destination and generates a transcript file that includes information about the success or failure of export for each entity and the status of each step of the workflow. After you view the transcript file, you can select to proceed to the next phase of the workflow or reject the export phase and return the entity to the disposition cutoff phase. If you select the Proceed to next phase option, the entity is destroyed and a workflow transcript step is generated. The transcript file generated after deletion is also attached. If you choose to reject the transfer of entities, the entity is restored back to the cutoff phase and the workflow sends a message that includes the reason for the rejection of the transfer.
The Two-step Transfer workflow launches when you initiate disposition. The first step is approval. Approved entities move to the export transcript step where you indicate the successful export of records and give approval to destroy the records.
For general information about how to complete this workflow, see Use the disposition workflows.
To approve or reject the transfer of entities
After specifying the export details and completing the workflow, data is transferred to the specified locations. A transcript file is generated and referenced in a new Transcript work item that requires a response to complete destruction after transfer.
To complete the Two Step Transfer workflow
If you select Successfully Exported. Destroy Now, the workflow proceeds to the Destroy phase and deletes the exported entity from the system. You can open the workflow step to access the destroy transcript.
If you select the Reject Transfer option, the entity moves back to the Cutoff phase of the workflow, and the Export phase action is cancelled. You need to initiate disposition on the entity again to perform the Export and Destroy phase actions of the Two Step Transfer workflow.
If you select the Select a response option, then the workflow does not perform an action on the entity.
