Custom Mapping of e-mail Fields

Overview

The e-mail mapping tool is a stand-alone utility that allows you to create and modify a mapping between the properties associated with an e-mail and properties associated with an e-mail record using an XML file which specifies the current mappings. The tool allows you to take this existing XML, populate a dialog to display the current mappings, change the current mappings and save your changes without having to manually edit the XML file. The XML automatically fills in the metadata for the document being filed on the system with the fields from the e-mail itself.

NOTE  This functionality is only supported on Workplace XT.

The tool provides the following capabilities:

Tool Use

To run the e-mail mapping tool, from a command prompt, go to the IBM InfoSphere Enterprise Records home directory and launch the tool.

  1. Browse to the <RM_install_path>/FileNet/RM directory.
  2. Run the EmailMappingTool.sh (UNIX) or EmailMappingTool.bat (Windows) file to launch the tool.

NOTE  On UNIX platforms that use WebSphere, verify that the EmailMappingTool.sh uses the Java JRE version that is in the WebSphere installation directory. The default home directory (WS_DIR) where WebSphere Server or WebSphere Client is installed is /opt/IBM/WebSphere/AppServer. However, if your configuration is different, edit the EmailMappingTool.sh file so WS_DIR= entry indicates the appropriate path.

The Custom Mapping of e-Mail Fields screen displays.

The values in the Outlook Field column cannot be modified.

The fields in the Content Engine Symbolic Name column can be modified with any property symbolic name you choose. If you would like to map more than one property symbolic name to a given e-mail field value, the symbolic name can be separated by a comma (no spaces). You can refer to the Enterprise Manager property templates for a list of valid property names. The property mapping changes take effect when you restart Outlook.

Save inserts the property symbolic names into the XML, the XML mapping is created, and the tool exits.

Cancel exits the tool with no changes.

NOTE The tool can be run multiple times, so if you make a mistake in the mapping of a property you can always run the tool again.

You can map Outlook message properties to Workplace XT e-mail class properties using the Enterprise Manager and modifying the OutlookPropertyMappings.xml file. For more information, see Configure Microsoft Outlook® property mapping.
