A workflow group is the list of users assigned as participants
for a particular step in the workflow. Depending on the workflow definition,
you can change the group members if needed.
To view and edit group members:
To view members for a work item:
Navigate to the desired work item in Tasks.
Click the work item name link to open the Task Step.
The assigned users are listed to the right of the step
name.
To edit group members for a work item:
Click the Step name link for
the desired group. The Modify Groups page opens.
Search for the desired user or group names to add to
the workflow group.
Select the domain to search. Click the down arrow for Select in,
and then select the desired domain name from the list.
Select the Users option or the Groups option
to refine the list of names available.
Type one or more characters for the beginning of the names to
search for. For example, to locate users named aalberto and amoss,
type a. All user names beginning with "a" are returned.
You can narrow the search by entering more characters. For example, aal would
return aalberto and aallen, but not alemon or amoss.
Click Search. After a brief delay, the
matching names are displayed.
Note: If the number of matching names
is greater than the default for displaying, not all matches are displayed.
You will need to change the search criteria and click Search again
to see more results.
When you are satisfied with the results, select the desired names
from the Available Participants list. Click Add One to
add the name to the Current® Participants
list. Or, click Add All to add all users to
the list. You can use Ctrl+Click or Shift+Click to select more than
one name in the list.
If needed, repeat the search to add additional names. For example,
to add the users jsmith and wwilson, you would need to search for
users beginning with "j" and then search for users
beginning with "w".
To remove a participant, select the desired user name
from the Current Participants
list. Click Remove One to remove the name from
the Current Participants
list.
