Configuring retaining metadata

Using Enterprise Manager, you can specify whether to delete the document and retain the record metadata or to delete both the document and the record metadata.

If you retain the metadata, you can view it using Enterprise Manager. It is not visible in IBM® Enterprise Records. This configuration is done at the file plan level either when creating it or after it has been created.

To configure retaining metadata:

  1. Log in to Enterprise Manager as Administrator.
  2. Select a file plan object store from the Object Store folder.
  3. Select the Root folder.
  4. Select the Records Management folder.
  5. Right-click the File Plans folder and select the Properties option. The File Plan Properties dialog box displays.
  6. Click the Properties tab.
  7. In the Property Value column, enter one of the following values for the Retain Metadata property. By default, the value is set to 1:
    • 1 Specifies that the system should delete both the record metadata and the declared document.
    • 0 Specifies that the system should retain metadata for deleted documents.
    Values other than 0 and 1 are reserved for future use.
  8. Click OK to save the changes and exit the dialog box.
