Associating entry templates

You must be a member of the Application Engine Administrators access role and have access to the Preferences action to associate entry templates with a folder. In addition, the Authoring Page Display site preference must be set to Workplace XT and Workplace. See General settings for Author for more information about this site preference.

To associate entry templates with a folder:

  1. Right-click the folder you want to associate and click Preferences > Associate Entry Templates. Workplace XT displays the following information: Workplace XT displays the following information:
    • The available entry templates for the selected object store. You can re-sort this list by clicking a column heading.
    • The entry templates, if any, that are associated with the current folder.
      • If the entry templates have been inherited from a parent folder, the parent folder is indicated above the list.
      • If you do not have access rights to view the properties of an associated entry template, the entry template name is replaced with placeholder text.
        Tip: Placeholder text is also displayed if the actual entry template was deleted after it was associated with this folder.
  2. Perform any of the following actions:
    • Add an entry template association by selecting one or more entry templates from the Available entry templates list and clicking Add. KEYBOARD TIP: Press Enter to move selected items from the top section to the Selected entry templates section.

      If you want an entry template to be used for a document with no content, associate the folder with an entry template with a file type category that has no defined MIME types. (A document with no content usually represents an external item that cannot be stored electronically but that can be represented and tracked by a collection of properties.)

      If you want an entry template to by used for an external file, such as a web address, associate the folder with an entry template with a file type category that includes the MIME type for external files. See the File type categories site preference for more information.

    • Remove an entry template association by selecting one or more entry templates from the Selected entry templates list and clicking Remove. KEYBOARD TIP: Press Delete to remove selected items from the Selected entry templates section.
      Tip: You cannot remove inherited entry template associations except by adding an entry template from the list of available entry templates. If you want to use the standard wizard instead of an inherited entry template, you can create an entry template that works like the standard wizard.
    • Change the order of the associated entry templates by selecting one or more entry templates from the Selected entry templates list and clicking Up and Down as needed. You cannot change the order of inherited entry templates. KEYBOARD TIP: Use Alt+Up arrow and Alt+Down arrow to reorder selected items in the Selected entry templates list.
  3. (Optional) Limit the entry template association to selected file type categories.
    1. Select an entry template in the Selected entry templates and click Options. Workplace XT displays the available and selected file type categories. KEYBOARD TIP: Press the spacebar to view the options for the selected entry template.
    2. Add or remove file type categories as desired. Click View MIME types to see the MIME types associated with a file type category. KEYBOARD TIP: Press the spacebar to view the associated MIME types for the selected file type category.
