Creating the IBM Enterprise Records Object store configuration profile and running the profile tasks

You must create a IBM® Enterprise Records Object store configuration profile to configure object stores to work with IBM Enterprise Records. The tasks associated with this profile allow you to configure File Plan Object Stores (FPOS) and Record Object Stores (ROS).

You need to complete the following tasks:

To create an Object store configuration profile:

  1. Ensure that your Content Engine server is running.
  2. If IBM Enterprise Records Configuration Manager is not already running, start the IBM Enterprise Records Configuration Manager.
  3. Start the Create New Installation Profile wizard by selecting File > New Installation Profile.
  4. Select the Profile type, Object store configuration profile.
  5. Optional: In the Set Properties for Content Engine Connection window, click Test Connection to test the connection between Configuration Manager and the Content Engine server by using the information that you provided. If the test fails, make sure that the Content Engine server is running and that the Content Engine server property values that you entered match the values that are defined in your Content Engine server.
  6. The profile you created is displayed as an icon in the left profile pane along with tasks and icons.
    • You must complete the Create Marking Sets and Add-Ons task before you configure your File Plan and Record Object Stores.
    • You must complete the Configure File Plan Object Store task before you Import Templates or Transfer Workflows.
    1. Complete the Create Marking Sets and Add-ons task. The Create Marking Sets and Add-ons task creates IBM Enterprise Records marking sets and IBM Enterprise Records data model add-ons in the Content Engine. The marking sets and add-ons created are for the particular data model selected, and the task may be run again if marking sets and add-ons for other data models are needed. The following list is a complete list of all marking sets and add-ons for all data models:

      Before you add marking sets, you should verify that there are no marking sets already added to the domain. To check for existing marking sets, log on to IBM Enterprise Records from the Application Engine server as the GCD administrator and select the Marking Sets node. Here is a listing of the required marking sets by data model.

      Before you add add-ons, you should verify that there are no add-ons already added to the domain. To check for existing add-ons, log on to IBM Enterprise Records from the Application Engine server or the Workplace XT server as the GCD administrator and select the AddOns node. Here is a list of required add-ons by data model.

    2. Complete the Configure the File Plan Object Store task. After the IBM Enterprise Records marking sets and add-ons have been created in the Content Engine, you can then configure existing object stores to be either IBM Enterprise Records File Plan Object Stores (FPOS), Record Object Stores (ROS) or both. This task configures a File Plan Object Store (FPOS) by installing an IBM Enterprise Records data model Add-On. An object store that has not previously been configured needs to be selected, as well as the data model that you want.
      Attention: In order to successfully use the configured object store in the IBM Enterprise Records web application, you need to run the security script and set the appropriate permissions. The security script is run in the web application and you are prompted to run it when you launch the IBM Enterprise Records web application for the first time. The script is pointing to use a File Plan Object Store that has not run the security script or has its permissions set yet.
    3. Complete the Configure the Record Object Store task. After the IBM Enterprise Records marking sets and add-ons have been created in the Content Engine, you can then configure existing object stores to be either IBM Enterprise Records File Plan Object Stores (FPOS), Record Object Stores (ROS) or both. This task configures a Record Object Store (ROS) by installing an IBM Enterprise Records ROS Add-On. An object store, that has not previously been configured as a ROS, needs to be selected.
    4. Complete the Import Templates task. After you have configured an IBM Enterprise Records File Plan Object Store (FPOS), you can import IBM Enterprise Records Search and Physical Record Declare templates. This task imports the IBM Enterprise Records Search template and/or Physical Record Entry template into a File Plan Object Store. The Search Template provides a predefined search template for locating records, and it may be accessed on the IBM Enterprise Records web application's Search page. The Physical Record Declare template is invoked when declaring physical records in the IBM Enterprise Records web application.
    5. Complete the Transfer Workflows task. After you have configured an IBM Enterprise Records File Plan Object Store (FPOS), you can transfer IBM Enterprise Records workflows definitions from the FPOS to the Process Engine. The workflows must be transferred before they can be executed. A FPOS and a Connection Point to the region need to be specified.
