Process regions

If you are installing IBM® Enterprise Records in an environment containing more than one Application Engine or Workplace XT server, where all of them use the same workflow region, you only need to configure a process region once.

Configure a process region for IBM Enterprise Records.
  • To complete this task, you must sign in to Application Engine or Workplace XT as a user that is a member of the Process Engine configuration group, is assigned the PWConfiguration access role, and the Records Administrator role.
  • For this task the browser used to access Application Engine or Workplace XT must support Java applets.

    If the browser on your Application Engine or Workplace XT server does not support the use of Java applets, you must copy the ier_install_path/Workflow/configureRMworkflow/RMWorkflowConfiguration.xml file to the machine from which the browser will be launched.

  • You import this IBM Enterprise Records workflow configuration file as instructed in Configuring a process region for IBM Enterprise Records. This workflow has the following effect:
    • Creates the following component queues:
      • RM_Workflow_Util
      • RM_Operations
    • Creates the following work queues:
      • PhysicalEntitiesDeliveryQueue
      • PhysicalEntitiesFindLostQueue
      • PhysicalEntitiesKeeperQueue
      • PhysicalEntitiesReserveQueue
      • PhysicalEntitiesWaitQueue
      • RecordsManagerApproval
    • Adds the step processors required to create generic steps in IBM Enterprise Records workflows. The workflow also adds IBM Enterprise Records operations or methods to perform IBM Enterprise Records functions
  • Use the guidelines presented in the following table to assign groups to IBM Enterprise Records work queues. The table also gives a brief description of each work queue and provides recommendations for assigning groups. See Configuring a process region for IBM Enterprise Records for instructions.

PhysicalEntities DeliveryQueue Request the delivery service to deliver a physical entity to the user who is next in the queue for the entity. Records Administrators and groups or users who are authorized to handle the delivery of physical entities, such as files or tapes.
PhysicalEntities FindLostQueue Identify lost entities. Records Administrators and groups or users who are authorized to send out notifications on the status of entities.
PhysicalEntities KeeperQueue Identify entities waiting for release or physical entities waiting to be received that do not have an assigned keeper. Records Administrators and groups or users who are authorized to act as keeper of physical entities.
PhysicalEntities ReserveQueue Identify reservation requests for charging out physical entities. Records Administrators and groups or users who are authorized to access the queue.
PhysicalEntitiesWaitQueue Identify waiting requests for charged out physical entities. Records Administrators and groups or users who are authorized to access the queue.
RecordsManagerApproval Require approval by the Records Manager. Records Manager and Records Administrators.
