Defining document search criteria

The Search user preference settings determine the default criteria displayed when using Simple Search in the Search page. The Document settings apply when searching for documents.

To define document search preference criteria:

  1. Click Preferences in the upper right corner.
  2. In the User Preferences page, click Search from the list of views.
  3. Click Document from the list of Search views.
  4. Select an object store to search.
    • If you have not defined any document search criteria, a list of object stores is displayed. Click an object store name to select it. The search will only look in a single object store. The General Settings and Property Criteria Settings are displayed after you select an object store.
    • If you want to change the selected object store, click Object Stores in the Path. A list of object stores is displayed. Click an object store name to select it.
  5. Select the appropriate General Settings.
    1. To specify a default document class for a search, click Select Class and select a specific class. Click Clear Class to remove the class that was selected. You can also select or clear a class on the Search page if you display the Filter by Class field (step c).
    2. To include subclasses of the class selected for Default Filter Class, select Include subclasses. You can select or deselect this option on the Search page if you display the Filter by Class field in the next step.
    3. To display the Filter by Class field on the Search page to search for specific document classes, select Show from the Show Filter Class drop-down list. If you do not display the field, the default classes selected in steps a and b will be used. If there are no class selections, all classes will be searched.
    4. To display the Version Option field on the Search page, select Show from the Show Version Option menu.
    5. Specify the Default Version Option for documents to be returned by selecting Released Version, Current Version, or All Versions from the drop-down menu. If you show the version option field (step d), you can change this default selection on the Search page.
    6. To display a field for entering text in the content of documents, select Show in the Show Content Contains list.
    7. To view a summary description for content search results that are formatted in Magazine view, select the check box for Show Summary in Magazine View. Representative text is presented for each returned document. You can change the format of the search results (Magazine or Detailed views) on the Search page.
    8. Select either AND or OR from the AND/OR Content Criteria list. If you select AND, all properties must be true and the content you enter must appear in the documents. If you select OR, documents will qualify if either their properties are true or the document contains the content you specify. You cannot change the operator on the Search page.
    9. To specify the maximum number of items displayed in the search result, enter a number in the Max Results field. The default is 100.
  6. Select the appropriate Property Criteria Settings. You can display and search on up to 5 properties in the Search page. The properties available depend on the selected object store.
    1. Select a Property Name from the drop-down list.
    2. Select an Operator for the property criteria.
    3. Select the AND / OR join operator for the property criteria. For example, select AND to specify that the current property AND the next one must be true.
    4. Specify which property to use for sorting the results.
  7. Click Apply to save your changes.
  8. Click Exit to close the User Preferences page.
