Setting IBM Enterprise Records system configuration

IBM® Enterprise Records system configuration affects the entire IBM Enterprise Records system, but applies to the current File Plan Object Store only.

To set IBM Enterprise Records system configuration:

  1. Log in to IBM Enterprise Records as a system administrator, or a user with a Records Manager or Records Administrator access role.
  2. Click the Configure tab.
  3. Click System Configuration to open the Configuration Items page.
  4. Enter or select values for these configuration items:
    Export Configuration
Specify whether IBM Enterprise Records embeds the content of exported records in the Export XML file. A menu for this field includes "Separate Content from XML," and "Embedded Content in XML." For more information, see IBM Enterprise Records Transfer.
    Transfer Mapping
Specify the name of the Transfer Mapping object that the IBM Enterprise Records Transfer Tool uses when exporting records and record folders. For more information, see Transfer mappings.
    Default Declassification Timeframe
(Only available for DoD Classified) Enter a value that IBM Enterprise Records uses to declassify a record when a declarer of that record did not specify Declassify On Date or Declassify On Event values. The default is 25 (years). Only the IBM Enterprise Records administrator can change this value. Other users see the value as read-only. When the Default Declassification Timeframe value is changed, IBM Enterprise Records applies the new default value to: All subsequent classified records that a user declares without specifying the "Declassify On" values. Existing classified records, where the declarer did not specify a Declassify On value, or where the declarer specifies a Declassify On Date that is equivalent to the previous Default Declassification Timeframe value. IBM Enterprise Records applies the new default value to these existing classified records after Declassification Sweep is run. For more information, see Running Declassification Sweep.
    Request Declassification Dates Update
(Only available for DoD Classified) By default, this field is empty. Select Enabled to use the Declassification Sweep to update declassification dates of classified records. Only users assigned to the Classified Records Security Personnel access role can select Enabled. For more information, see Running Declassification Sweep.

Specify the maximum number of work items stored in a batch for review/approval before disposal. For more information, see Configuring the workflow batch size.
