IBM Enterprise Records components

You can install individual IBM® Enterprise Records components, such as IBM Enterprise Records API and the IBM Enterprise Records Disposition Sweep and Hold Sweep, by using the IBM Enterprise Records installation program in custom installation mode.

You can install the following list of IBM Enterprise Records components using the IBM Enterprise Records installation program and some come installed with web application.
IBM Enterprise Records web application
This component provides a web-based application for configuring the IBM Enterprise Records environment and performing various records management tasks.
You must install the IBM Enterprise Records web application on the same server as Application Engine or Workplace XT.
Restriction: Running IBM Enterprise Records configured with both Application Engine and Workplace XT on the same server is not supported.

If you install IBM Enterprise Records on a server where both Application Engine and Workplace XT are installed, you must configure IBM Enterprise Records to work with either Application Engine or Workplace XT, not both.

If Application Engine or Workplace XT and Content Engine are collocated, verify that the server is appropriately sized before you add IBM Enterprise Records by referring to the documents mentioned in the following list.
IBM Enterprise Records must run on the same Java Virtual Machine (JVM) as Application Engine or Workplace XT.
IBM Enterprise Records API and bulk declaration services API
These components include the JAR files that provide interfaces and classes for creating a custom application or customizing records-related operations (\API\RMAPI and \API\BDS_API).

For custom installations, you can install the IBM Enterprise Records API and bulk declaration services API components on any developer system. You can install the APIs on a development machine to create your own custom applications like bulk declare records applications or your own custom web user interface. This option in the installation program should not be chosen when you are running them on a machine that has any IBM FileNet® P8 component installed. The IBM Enterprise Records API JAR files must not be collocated with any IBM FileNet P8 component.

IBM Enterprise Records Disposition Sweep and Hold Sweep
These components include the files required for configuring the Disposition Sweep and Hold Sweep processes and for scheduling the sweep tasks. These components are used to manage the disposition and holding of records based on a defined schedule.

You can install the sweep components on any server. The components can be collocated with the IBM Enterprise Records web application or any other IBM FileNet P8 core component, such as Content Engine.

Tip: You should install the sweep components on the Content Engine server to improve access to the object store for sweep calculations. To install only these components on the Content Engine server, run the IBM Enterprise Records installation program on the Content Engine server and use the Custom installation option. File Plan Import Export tool
You can use this component to import an external file plan, or export a file plan to an external environment.
Tip: You should install the File Plan Import Export tool on the Content Engine server to help ensure fast access to the object store. To install this component on the Content Engine server, run the IBM Enterprise Records installation program on the Content Engine server and use the Custom installation option. Transfer tool
You can use this component to transfer active records and record folders to a separate system for permanent archiving. For more information, see the related links at the end of this topic.
IBM Enterprise Records data model add-ons and marking sets (pre-installed with the web application)
Use the IBM Enterprise Records Configuration Manager to install the IBM Enterprise Records data model add-ons and marking sets. The tool installs the add-ons and marking sets onto the Content Engine in order to support the following records management standards:
  • Base
  • Public Records Office (PRO)
  • Department of Defense 5015.2-STD (DoD)
  • Department of Defense 5015.2-STD (DoD Classified)

If you configure an object store with a data model, you can create a file plan in the object store. A file plan refers to a hierarchy of record management objects that are used to classify records. For more information, see the related links at the end of this topic.

The Configuration Manager program (pre-installed with the web application)
After installing IBM Enterprise Records and running the Content Engine and Process Engine Client installation programs, use the Configuration Manager program to perform the following tasks:
  • Configuration and deployment of IBM Enterprise Records Application Engine or Workplace XT web applications.
  • Configuration of object stores for IBM Enterprise Records usage.
  • Upgrades from previous versions.
IBM Enterprise Records Workflows (pre-installed with the web application)
In order to process records and folders, you must transfer IBM Enterprise Records workflows using the Configuration Manager, and manually configure IBM Enterprise Records workflows, regions, and queues. A workflow includes the tasks, procedural steps, personnel, input and output information, and tools for each step in a business process. IBM Enterprise Records Crystal Reports (pre-installed with the web application)
This optional component includes Crystal Reports templates that help you report on records management activities and must be completed manually. For more information, see the related links at the end of this topic.
