Declassification Sweep updates the declassification date
on existing classified records for which the declarer did not specify
the Declassify On Date or Declassify On Event values. If a record
declarer specifies a Declassify On Date that is equivalent to the
default declassification timeframe, IBM® Enterprise
Records treats the date as the
default declassification timeframe, and Declassification Sweep updates
the value accordingly.
For example, an authorized user declares a record on January
1, 2000, and specifies the Declassify On Date as January 1, 2025.
When RM is installed, the Default Declassification Timeframe is 25
years. On January 1, 2008, the records manager administrator changes
the Default Declassification Timeframe to 20 years. After Declassification
Sweep is run, the Declassify On Date value of the original record
is updated to January 1, 2020. Declassification Sweep is usually run
after the
IBM Enterprise
Records administrator
changes the default declassification timeframe. For information about
the default declassification timeframe, see
Setting IBM Enterprise Records system configuration.
To run Declassification Sweep:
- Log on to IBM Enterprise
Records,
and do the following:
- Click the Configure tab
- Click System Configuration to
open the Configuration Items page.
- In the Configuration Items page,
select Enabled from the menu in the Request
Declassification Dates Update field.
- Click Apply to save the changes.
- Close the Configuration Items page.
- On the machine where IBM Enterprise
Records Sweep
is installed, do the following:
- From a command prompt, navigate to the RecordsManagerSweep
folder.
- Configure Declassification Sweep by entering one of
the following commands:
Operating system |
Command |
UNIX |
./RecordsManagerSweep.sh -DispositionSweep -configure |
Windows |
RecordsManagerSweep.bat -DispositionSweep -configure |
Attention: Declassification Sweep uses
the same configuration as Disposition Sweep. However, Declassification
Sweep requires a value for the
ObjectStore Name field,
in addition to values for fields required by Disposition Sweep, and
ignores the values of fields that are not required by Disposition
Sweep. For details about the required values, see
Configuring Disposition Sweep.
- After you configure Declassification Sweep, enter one
of the following commands:
Operating system |
Command |
UNIX |
./RecordsManagerSweep.sh -declassifyOn |
Windows |
RecordsManagerSweep.bat -declassifyOn |
- Verify that Declassification Sweep ran successfully:
- View the DeclassificationSweepActivity.log file
in the RecordsManagerSweep folder to determine that Declassification
Sweep ran successfully. If the Declassification Sweep did not run
successfully, the log file will contain errors that you can use to
troubleshoot the problem.
- View the Security Classification properties of a record that bases
its declassification date on the default declassification timeframe
value. The Declassify On Date should reflect the new default declassification
timeframe. For information about viewing security classification properties,
see View and modify security classification properties.
