IBM FileNet P8, Version 5.2.1

Adding a content element to a document

You can add content elements to a checked-out document. These elements become permanently associated with the checked-in version of the document.

About this task

For example, suppose that you check in version 1 of a document with the following content elements: doc1.txt and doc2.txt. Later, you check in the same document as version 2 with the following content elements: doc3.txt. This version, version 2, contains only that single content element (doc3.txt).

Two types of content elements are possible:
File

To associate a file with a document object, browse to the location of the file on your computer or computer network and associate the file with the document object. You can associate multiple files with the document object.

Reference

To associate a file reference with a document object, enter a URL that specifies a valid protocol, such as HTTP, HTTPS, FTP, FTPS, or //.

Procedure

To add a content element:

  1. In the administration console, access the document object in which you want to add a content element.
    1. In the domain navigation pane, click the object store that contains the document.
    2. In the object store navigation pane, click Browse > Root Folder, and select the folder of the document object.
    3. In the details pane, select a document by clicking the document link in the Containment Name column.
    4. Click the document tab.
  2. If the document is not checked out, check it out. From the Actions menu, click Checkin, checkout, cancel, and click one of the checkout options. For information about the checkout options, see Versioning actions.
  3. Add content elements to the document. Do the following steps for each content element:
    1. From the Contents Elements tab, click Contents Elements > Add.
    2. In the Add Content Element window, browse to a file or URL, and click Add Content.
  4. Click Save.
