Creating roles

If you create a custom application that uses this workflow, create roles to specify which users can access specific types of workflows. For each role, you specify the URL of the home page for that role, the users who are members of the role, and the in-baskets that will be accessible for the role.

Before you define a role, you must specify an application space for the current workflow collection. There is a default application space named DefaultApplication, that gets created when the region is initialized, or you can create a different application space.

To define a role:

  1. If the Roles panel is not already open, use the following steps to access the Roles panel, depending on which process application you are using:
    Option Action
    In Process Configuration Console Select the Application Spaces folder, right-click an application space, and select Properties. Click the Roles tab.
    In Process Designer Select View > Roles.
  2. To define a new role, click Add on the Roles bar. Double-click the new entry and replace the default name, NewRole1, with a new name.

    Some users are assigned to more than one role, so the name should provide some clue of the type of work.

  3. Optionally enter a description for this role.
  4. Enter a URL of the home page of this role where the user will select an in-basket with work items.
    Option Action
    If you know the URL, You can enter it and select Preview to view the home page.
    If the URL is blank, You can click Preview to browse the server for an existing home page for this role.

    To use Preview, you must have the Server Base URL of your server defined as a Web Application.

  5. The in-baskets for the role are listed in the Select in-baskets for this role pane.
    Option Action
    To change the order of the in-baskets, Select an in-basket and click the Up or Down arrow on the toolbar.
    To add or remove an in-basket from this list, Click Edit on the toolbar to open the Edit window.
  6. To assign members for this role, click Modify and select the users or groups to be members of this role. These users will be able to select this role and open the in-baskets to process the work items.
  7. Click Commit Changes on the Action bar of the Configuration tab if you are in Process Designer to save your configuration change.
