Configuring annotations for automatic export

You can configure FileNet® Image Services to automatically transfer annotations to Content Platform Engine.

About this task

Use the FileNet Image Services System Configuration Editor (the fn_edit tool) to enable automatic export of annotations to the Content Platform Engine system whenever the associated document properties are exported from IBM® FileNet Image Services or when annotations to federated FileNet Image Services documents are added or modified. FileNet Image Services annotations can also be copied separately if the catalog data is already exported to Content Platform Engine.

When annotations are exported from FileNet Image Services, they are assigned the ISAnnotation class and stored in the storage area that is specified by the storage policy that is assigned to the ISAnnotation subclass. Within Content Platform Engine, you can use the administration console to modify the storage policy for the ISAnnotations class.

Important: Do not change the class of an imported Image Services annotation to a native Content Platform Engine annotation class. If you change the class and later delete the annotation from Content Platform Engine, the annotation is not deleted from Image Services.

The annotations from each of the fixed content devices are exported to a single storage area as specified by the storage policy. If you have multiple FileNet Image Services fixed content devices in an object store and you want to store the annotations in a storage area specific to the fixed content device, you can create a subclass of ISAnnotation for each fixed content device and have each subclass point to a different storage policy.

You must explicitly assign the replication group to the annotations to replicate the annotation with the document. The exception is in the Workplace XT application: If you create annotations in Workplace XT, and the annotated document is a replicated document, Workplace XT assigns the replication group to the annotation that matches the replication group of the annotated document.

Tip: When you view annotations in Workplace XT or Workplace, you might not see the entire annotation. Right-click the annotation and expand the border. For Workplace, if you cannot expand the border, change the filenetAlwaysRubberband option in the WorkplaceInstallDirectory\UI-INF\jsp\ui\WcmJavaViewer.jsp file to FALSE. The next time you log on to Workplace, the full annotation is visible.

Procedure

To configure automatic export of annotations:

  1. As a user with root privileges, start the fn_edit program on the FileNet Image Services Root/Index server.
  2. Click the System Appl. Services tab.
  3. Click the Others tab.
  4. On the Others tab, click the red X in the Export Annotations field. The icon changes to a green check mark to indicated that it is selected.
    Tip: The Export Annotations field is on the far right side of the Others tab. Maximize the window or use the scroll bar to see it.
  5. Select the System Attributes tab.
  6. Verify that the Default Character Set value is correct for both indexing and annotations. For example, if indexes and annotations are created with the ISO 8859-7 (Greek) character set, the default character set is Greek.
  7. Exit the fn_edit program and save the changes.
  8. Restart FileNet Image Services to rebuild the system configuration files and make the change go into effect.
  9. Restart the Content Platform Engine server.

    Annotations can now be copied directly from FileNet Image Services to Content Platform Engine. The original FileNet Image Services annotation always remains in the FileNet Image Services system.
