About editing a workflow

You can use Process Tracker to change the values of data fields, assign documents or other files to attachments, and specify workflow groups and trackers. You cannot change the workflow definition itself.

You can make changes only to work items associated with one step at a time. Before making changes, Process Tracker must lock the work items that you want to change. You cannot change work items that are currently locked by other users. When you are done changing work items, you must save the changes.

Restriction: If you open Process Tracker by clicking Status on a work item page, the Properties pane is displayed only if you are assigned as a tracker for this workflow. If you are a tracker for this workflow, any changes that you make when you access Process Tracker by this method is not reflected on the work item page.

Step state What you can change
Visited step: one or more work items for this step have already been completed. You cannot change information for visited steps.
Active step with access privileges: work items are currently at the step, and the user has access privileges to the associated queue. You can make changes to active steps that are not locked by other users.
Active step with no access privileges: work items are currently at the step, but the user does not have access privileges to the associated queue. You cannot change this information because you do not have access privileges. For information about how your logon affects your ability to complete various tasks, see Workflow security.
Unvisited step: has never had work items in the associated queue. You cannot change the properties of unvisited steps.

Steps can combine more than one state. Steps that have more than one participant can be a combination of active and completed. A step can be revisited more than once, so a step can have one or more occurrences that are complete as well as an active occurrence.

Tip: If you use File > Exit to close a Process application (such as Process Tracker), the application prompts you to save any unsaved changes before it closes. However, if you click the Close button [X] in the right corner of the window, one of the following actions occurs:
  • If the program is running as an application, it prompts you to save any changes.
  • If the program is running as an applet inside a browser window, the program closes immediately and any unsaved changes are lost. (The name of the browser is displayed in the title bar.)
