Applying a retention hold to a load or group before federation

You can apply a retention hold to an application group by using the Enhanced Retention Management feature of the Content Manager OnDemand administrative client. All documents that belong to the application group are locked and cannot be deleted from the Content Manager OnDemand server. Use this method to set retention holds that apply to the batch mode export and import process.

About this task

An application group on the Content Manager OnDemand server has a default disposition schedule. After you place a retention hold on the documents in an application group, the default disposition schedule is replaced and the documents are locked down until released by IBM® Enterprise Records. In this way, IBM Enterprise Records controls expiration processing for the documents in the application groups. You can then declare the documents as records by using IBM Enterprise Records.

Procedure

To apply a retention hold to a load or group before federation:

  1. On the Content Manager OnDemand server, implement the Enhanced Retention Management system.
  2. Assign a hold to the application groups that contain documents that you are going to declare as records in Content Platform Engine. Internally, the Content Manager OnDemand server overrides the default disposition schedules for those documents.
  3. Use IBM Enterprise Records to manually declare the exported documents in Content Platform Engine as records. The disposition schedule is now controlled by IBM Enterprise Records.
