View and specify attachments

Attachments that are listed on a work item page link to information (such as documents in an object store or library) you use to complete the work.

Check the instructions on the work item page for information about using the attachments in this particular step.

To view or modify an attachment or target:

If the attachment is an array, use the procedure in Edit attachment array rather than the procedure below.

  1. In the open work item, select the Attachments tab to display the list of attachments.
  2. Select the attachment name in the list.
  3. As appropriate, use the tools on the Attachments toolbar to perform the following actions on the selected attachment:
    Operations on the selected attachment Action
    Assign Attachment Assigns a target to the selected attachment. Click Assign Attachment on the toolbar, then do one of the following, depending on the location of the target:
    • If the target is in an object store, open the object store and browse or search to locate the target (document, folder, stored search, and so on).
    • If the target is either a file on a shared disk or a web address, click Other, then select the appropriate option—UNC for a file, or URL for a web address.
      • For UNC, click Browse to locate the document, or type the path and filename.
      • For URL, type the URL beginning with http://

    Optionally, you can leave the target for this attachment blank.

    Unassign Attachment Removes the assigned target from the selected attachment.
  4. As appropriate, use the tools on the toolbar to perform actions on the attachment target.
    Operations on the attachment target Action
    View Document Views the target of the selected attachment. If your viewer application does not recognize the format of the target, the target will not display. If you do not have Viewer access to the target, the button is disabled.
    Open Opens the selected item in an appropriate application available on your computer.

    If the target is a folder, a Browse page displays the contents of the folder where you can select individual items. You can then use the tools on the toolbar to perform the appropriate operations on the selected item. Note that although the Link Workflow and Launch Workflow toolbar buttons appear to be enabled, you cannot link or launch a workflow from the target.

    To open a remote JPG file (UNC attachment) in the Windows 2003 environment, change the program association in the file property so that JPG and BMP image files open with the Paint program instead of the Picture viewer program. Local JPG and BMP image files, however, can be opened without issue with either picture viewing program.

    To open a remote JPG file (UNC attachment) in the Windows 2008 environment, ensure that the Desktop Experience component is installed before opening the JPG file.

    Checkout Document Checks out the target from a library and saves it on your local system.
    Checkout and Open Checks out the target and opens it for editing.
    Checkin Document Checks in the previously checked out target.
    Cancel Checkout Cancels checkout of the target.
    Version List Displays the list of versions of the target, including check-in information, access to archiving features, and other options.
    Properties Displays the properties of the target.
Tip: If the target for an attachment is blank, there might not be a target assigned, or the name of the target might be hidden (meaning you have Write access but not read access). If you have write or read/write access to the attachment, you can specify a target as indicated in the procedure.

To select items in an object store or library

You can do the following actions:

  • Open various folders in the object store or library by double-clicking on the folder name. Do not click Open.
  • To assign a document as a target, select the document, and then click Open.
  • To assign an entire folder as a target, select the folder, and then click Open. (If you click Open with no document selected, the folder that was last selected is assigned to the attachment.)
