Activity step - general properties

An activity step represents an activity in the workflow that is assigned to either a participant or to a work queue. Activity steps can be on any workflow map.

To specify the general properties of an activity step

  1. In the Step Name field, enter a name for the activity.
  2. For Activity Type , specify how the step will be processed by selecting Work Queue and then choosing one of the queues defined for this system. You can also specify one or more participants to process the step by clicking on the pencil icon. See Participant selection for additional information about selecting users.
  3. Under Participant Privileges, specify one or more of the following:
    • Reassign - A workflow participant will be able to reassign work at this step only if you allow it at this setting.
    • View Status - Allow the workflow participant to use the Process Tracker application to display the workflow map, show which participants processed previous steps, show responses and comments entered by participants at previous steps, show milestone messages, and list other information. The status view in Process Tracker does not display the Properties pane unless the participant is also assigned as a tracker for the workflow.
    • View History - Allow the participant to view the history of the running workflow. The History dialog box lists which participants processed previous steps, shows responses and comments entered by participants at previous steps, and provides other information. It does not display the workflow map.
  4. For Ignore Missing Participants, specify whether to ignore a missing participant—one or more users that is missing from a workflow group—and continue with the running workflow. If there are no valid participants specified for a workflow group, the workflow will stop with an exception when it reaches a step assigned to this workflow group.
  5. For Step Processor, select the step processor for this step. The FileNet-provided step processors are designated in the list with (FileNet®). The list of choices might include custom step processors if an application developer has created any. If necessary, work with your application developer to determine the appropriate selection. See About step processors for additional information.

To register a new step processor, click the list of step processors and click Register a new step processor. See Step processor registration for detailed information. You can register a new step processor for either IBM® Content Navigator or Open Client, or for a custom application.

TIP The default step processor, Approval HTML (FileNet), displays any parameters (data fields, attachments, and so on) on the initial page; the other FileNet-provided step processor, HTML (FileNet), displays parameters on separate pages.

  6. For Instructions in Step Processor instructions, enter instructions for the participant who will process this step when the workflow is running.
