Export workflow

The Export workflow ensures that entities are copied to a specified location at the end of the retention period of a phase. Use the export workflow to back up entities, or to transfer entities to a different system or object store. When you export a physical or hybrid entity, only the metadata of the entity is exported. For an electronic entity, both the metadata and content of the entity are exported.

The Export workflow runs when you initiate disposition for entities. The Approve step shows entities that are due for export.

Approve export step

To approve or reject the export of entities:
  1. Enter your review decision and any comments related to your decision.
  2. In the Export Destination field, enter the path to the location where the data is to be exported.
  3. For physical records, specify a location and verify that the items were physically moved to their new location before marking them approved.
After you specify the transfer details and complete the workflow, data is transferred to the specified locations. A transcript file is generated and referenced in a new Transcript work item. To access the XML transcript file, open the work item, click the Expand Attachment Items icon, and click the name of the transcript file.
