IBM Enterprise Records, Version 5.1.2

Customizing RM workflows

A workflow defines a sequence of activities to be accomplished for a business process to be executed successfully. IBM® Enterprise Records provides a number of workflows that you can customize according to your business processes, by adding a new step, modifying an existing one, or changing the sequence of steps.

For example, in the Create Record Folder workflow, the Records Manager needs to approve an end user's request for the creation of a record category or record folder. Your business process might require that the requisition be sent to the Records Administrator instead of the Records Manager. You can change the workflow participant from the Records Manager to the Records Administrator. The system will then send the requisition to the Records Administrator instead of the Records Manager.

Attention: For more information about workflow concepts, refer to the Getting Started in Design mode topic in the IBM FileNet® P8 documentation User Help within the Welcome to IBM FileNet P8 Process Designer topic.

To customize RM workflows, the RM application provides the RM_Operations component queue. You can use RM_Operations to create a new RM workflow according to your business processes. RM_Operations is a component of the RM Java™ API, and is designed for use by third parties for creating new workflows. Besides RM_Operations, it also uses the RM_Workflow_Util component queue. RM_Workflow_Util has been designed specifically for the out-of-the-box RM workflows, and should not be used for designing new workflows.

To modify RM workflows according to your business processes, customize the general and component step processors of these workflows, as described in the topics that follow.

Attention: If you need to customize an existing workflow, you can find .pep files in the <RM installation directory> \FileNet\RecordsManager\Workflow directory at AE. It is recommended that you rename the custom workflow that you create. You can use Process Designer to customize RM workflows. For more information about using Process Designer, refer to the Welcome to IBM FileNet P8 Process Designer topic.
