Assigning or removing a security policy

A security policy controls the security settings for a document based on the state of the record in the object store. A security policy consists of two or more security templates that define the security for a record class based on the version state of the record.

About this task

The security policy can assign a different security template to the record for each version state: Released, In Process, Reservation, and Superseded. As the record is checked out and in, the security policy determines how the security of the record automatically changes. Also, as a record is promoted or demoted from one version to another, the security policy determines how the security of the record automatically changes.

Procedure

To view the security policy assigned to a record:

  1. Go to the record by browsing or searching.
  2. Click the Get Info icon.
  3. Click Security to view the security information. The security policy displays near the list of users and groups.

Results

To assign a security policy to a document:

  1. Go to the Security view of the Information page for the record.
  2. Click Assign Policy.
  3. If needed, from the Select Security Policy page select a security policy subclass from the list of classes.
  4. Click a class name to add the class to the Path.
  5. Click Select near the required security policy description.
  6. Click Apply to save your changes.

To remove a security policy from a document:

  1. Go to the Security view of the Information page for the record.
  2. Click Unassign Policy.
  3. If needed, manually change security permissions. If the security policy was the only source of security for the object, apply direct permissions. For information about applying direct permissions, see the object security topic.
  4. Click Apply to save your changes.
