IBM Enterprise Records, Version 5.1.2

Cutoff workflow

Cutoff means closing records at a specified interval so that you can start disposition of these records. Cutoff is used to end the active use of records. The cutoff of records is triggered by the event or the date specified in the disposition schedule. When the cutoff is triggered, the system automatically performs the specified cutoff action and starts the cutoff workflow.

The purpose of the cutoff workflow is to ensure that the Records Manager reviews the entity after the cutoff trigger and approves the cutoff date. The approve step lists entities due for cutoff. The different phases of the disposition schedule start only after approval of the cutoff date.

Important: The cutoff workflow does not run for entities that were reopened.

Cutoff review step

For general information about how to complete this workflow, see the disposition workflow topic.

To review/approve entities due for cutoff:

If you changed the cutoff date field, on completion of the workflow, the system reschedules the cutoff date for that entity.
