Move records

A records administrator or records manager can move one or more records from one location to another within the same file plan. When you move a record to a new location, its associated metadata is also moved to the new location. An additional field representing the reason for moving the record is appended to the existing metadata fields of the record.

Considerations and limitations

When you move records, note the following limitations:

Procedure

To move a single record:

  1. Browse for the record to be moved.
  2. Right-click the name and select Move: Move icon
  3. Click the folder containing the record that you want to move.
  4. Enter the reason for relocating the record to some other destination, and click Next.
  5. Go to the container where you want to move the record and click Move.

Results

If you search for the record, you can click Get Info and move the record by selecting the Move action on the information page.

To move one or more records:

  1. Browse for the records to be moved. There is no Move command on the Multi-Select Actions menu in search results.
  2. Select the check boxes next to the records that you want to move.
  3. From the Multi-Select Actions menu, select Move: Move icon
  4. Enter the reason for relocating the records to another destination, and click Next.
  5. Go to the container where you want to move the records and click Move.
