When you click Security Classification in
the Record Information page, you can review or
edit the security classification properties of a record. IBM® Enterprise
Records applies the changes after
you click Apply in the Record Information page. Review the descriptions of the properties and instructions
for modifying the values.
Derived From
Derived From is populated by
one of the following sources:
- Security Classification Guide (SCG)
- Source document identifiers
- Inheritance or derivative classification
To edit this property:
- Click Derived From to see the Select Values page.
- To add a value, enter a text string in the Enter Value field, and click the Add Item icon:
Important: IBM Enterprise
Records saves the Derived From property as a string value. You can select
only an SCG when you initially declare the record.
- To remove a value, select a value from the Current Values list,
and click the Remove Selected Items icon:
Important: After you remove an SCG, you cannot
restore the SCG into the Derived From property.
- When you are finished, click Accept.
Important: Changing the Derived From property does
not affect Initial Classification, Current Classification, Reasons
For Classification, and Downgrade Instructions.
Initial Classification
Initial classification
is the security classification specified by the user who initially
declared the record. To modify the initial classification, click the
menu and select one of the following values:
- Top Secret
- Secret
- Confidential
- Unclassified
Current Classification
Current classification
reflects the current security marking on the record. Current classification
can be Top Secret, Secret, Confidential, or Unclassified. To change
the current classification, click one of the following Actions in
the
Record Information page:
- Declassify
- Upgrade Classification
- Downgrade Classification
Important: If you are upgrading an Unclassified
record to a higher classification like Confidential, many of the required
properties for the upgraded record might be missing. Make sure that
you assign the correct properties to the record. Go to the info page
for the record. Click Security Classification. Complete all of the missing "required" properties for the classification
of that record. Click Apply.
Reasons For Classification
You can modify Reasons
For Classification after the record is classified. To change the reasons:
- Click Reasons for Classification to open
the Select Values page where you can add and
remove Reasons for Classification.
- To add a Reason for Classification, click Add New Value and select either Active for new records
or Deprecated for old records.
- Select a reason from the list of choices and click Accept.
- Continue adding as many reasons as required.
- To remove a reason, highlight the reason and click the Remove Selected Items icon:

- When you are finished with your selections, click Accept.
Classifying Agency
You can modify the Classifying
Agency after the record is classified. Do not modify the classifying
agency unless the declarer of the record entered an incorrect value.
To modify the Classifying Agency, enter the correct text, such as
CIA, State Department, Department of Defense, or any appropriate agency.
Classified By
IBM Enterprise
Records populates Classified By
if the record is an Original Classification. After the record is classified,
enter an appropriate user name or title in the Classified
By property field.
Declassify On properties
You can change the
Declassify On properties after the record is classified. These properties
are disabled if the record has a supplemental marking of Restricted
Data or Formerly Restricted Data. Declassify On properties consist
of the following options:
- Declassify On Date: Click the calendar icon to modify the date
for declassification. Unless the Exemptions property is populated,
the date cannot be later than the mandated time from the publication
date.
- Declassify On Events: To add or remove events for declassification,
click Declassify On Events and select the events
from the list.
Important: The Declassify On Date is not required.
If this property is not specified, IBM Enterprise
Records uses the Default Declassification
Timeframe to determine the date of declassification. For more information,
see IBM Enterprise
Records system configuration.
Exemptions
To edit this property, click Exemptions to add or remove exemption categories.
Downgrade On properties
You can change the
Downgrade On properties after the record is declared. These properties
are disabled if the record has a supplemental marking of Restricted
Data or Formerly Restricted Data. Downgrade On properties consist
of the following options:
- Downgrade On Date: Click the calendar icon to select the date
for downgrade.
- Downgrade On Events: To add or remove events for downgrade, click Downgrade On Events and select the events from the list.
- Downgrade Instructions: In the text box, enter instructions for
downgrading.
