The purpose of the Destroy workflow is to ensure that entities are deleted at the end of the retention period associated with the Destroy workflow. After running the Destroy workflow, the entities are either logically deleted or permanently deleted from the object store.
Logically deleted means you can no longer access them from the IBM® Enterprise Records application but they remain in the object store. The deletion type depends on whether the file plan is configured to retain metadata. The Destroy workflow runs when you initiate disposition. The approve step lists entities whose destruction needs to be approved.
After specifying the details for destruction and completing the workflow, the approved entities are deleted and a transcript file is generated. For physical entities or entities that contain physical entities, a method used to delete the entities calledMethodOfDestruction is used. This method is included in the transcript. The transcript file is referenced in a new Transcript work item. To access the XML transcript file, open the work item, click Expand Attachment Items, and click the name of the transcript file. The file shows the destruction success or failure for each entity and other details.
