Edit Export Transfer Mapping/Add Export Transfer Mapping
This screen is the second step of the wizard when you are adding a new transfer mapping object. If you choose a pre-existing transfer mapping object, the wizard skips the first step and you are directed to this screen.
NOTE If you are editing an existing mapping object, the screen name is Edit Export Transfer Mapping, but if you are adding a new transfer mapping object the screen name is Add Export Transfer Mapping.
This screen displays all document classes under the Record and Record Folder categories. It has the following features:
- You can expand each class by clicking on the arrow images to show the properties that were picked for that particular class. Under each class are a number of properties selected by the user along with the mandatory properties that are pre-loaded according to each data model.
- You can activate an Expand All/Collapse All toggle by right-clicking on any arrow image to see the contents of all classes or not see the contents of any classes.
- You can use the Change Properties link at the top right of each class to add new properties to each class by opening the Change Transfer Mapping Properties screen. For more information, see Change Transfer Mapping Properties. Once the properties have been defined, you are returned to this screen.
- You are allowed to edit the mapping values by entering the new value in the text box under the XML Entity Name column. For example, under the class, PDF Record, you will see the mandatory properties at the top that you are not allowed to edit, and you will notice you are able to edit the mapping values of the other properties by entering the new value in the text box under the XML Entity Name column.
- The Propagate button allows you to assign the new value to all of the child classes of the selected class if the property exists and it is not a mandatory property in the subclass.
- The User Defined column allows you to indicate where a mapped field should be located. For record property classes, the options will be Record, LifeCycle, and ComputerFile. For folder property classes they will be Folder and LifeCycle. These are JITC-defined sections of the output XML and it is up to the user to know what section to map to. For example, if you select LifeCycle, that property will be situated in the LifeCycle defined area in the XML when it is exported. The default will be Record for all properties of a record class and Folder for all properties of a folder class.
NOTE There will NOT be any ComputerFile sub-element in the export.xml file for the Marker record class if the record is not associated with a document in an ROS. If you select the ComputerFile option for a Marker record class, its exported .xml file will not contain a ComputerFile sub-element if, at export, this Marker record has no content. So, the .xml file will not contain any data for the Marker record that was mapped to be placed under the ComputerFile area.
- You can use the Display Properties: drop down to display the Show Mandatory and Show Inherited check boxes in a separate pop-up. Checking these options hides or shows mandatory or inherited properties respectively for each class. Click OK to set these options. These settings appear in the Relationship column.
- OrgMandatory, CoreMandatory, or NaraMandatory means the property is a necessary property for that class and is defined in the base property mapping xml. These types of properties include mandatory properties from NARA, DoD V3 specifications and so forth. Mandatory properties display at the top of the Relationship list.
- Inherited means that the property data has been acquired from a superclass. This property will have the inherited label unless it is also a mandatory property in which case it will be labeled mandatory. Inherited properties display below Mandatory properties in the Relationship list.
- User Defined means that the property id defined only in the current class by an authorized user during configuration. This property will have the User Defined label unless it is also a mandatory property in which case it will be labeled mandatory. User Defined properties display below Inherited properties in the Relationship list.
- Once the properties have been defined, they are grouped into these three categories in the class display.
- You can use the Additional Properties: drop down to display the Export Audit Data and NARA Open Content Required check boxes in a separate pop-up. Click OK to set these options. Setting these options does the following:
- Export Audit Data indicates whether to export audit logs along with the associated record or folder.
- Nara Open Content Required indicates whether open content is required. if open content is required but not provided, errors are logged during the export process.
- The Open Content Alt Src Dir: field displays a file system directory path to be used as an alternative source for open content. The file name of any open content candidate file located in this directory must include the GUID string of the ID belonging to the record's first associated document.
- If an error occurs when assigning an XML Entity Name, you will see an alert icon next to the incorrect property name and an alert message will display at the top of the screen. Change the values of the invalid entries and click the Refresh button to reset the property values and remove the error.
NOTE All of the CE properties that you can map to are filtered so that only the appropriate properties are available.
Previous returns you to the Add Export Transfer Mapping screen if you are adding a new mapping. This is only available when adding a new transfer mapping.
Finish creates a new transfer mapping. This is only available when adding a new transfer mapping.
Cancel returns you to the previous screen with no changes made. This is only available when adding a new transfer mapping.
Apply temporarily make the changes you have made so far and allows you to remain on this screen for additional changes. This is only available when editing a pre-existing transfer mapping.
Exit closes the wizard. This is only available when editing a pre-existing transfer mapping.
