Create a marking set
Creating a marking set and applying it to a class of objects is a multi-step
procedure. Refer to Markings if you need more information about the options mentioned below
(and especially about how to set the marking's Constraint Mask and Security).
To create a marking set
- Log on as a GCD Administrator.
- Right-click Enterprise Manager's Marking Sets node and select New
Marking Set from the menu. This launches
the Create a Markings Set wizard. At the Welcome screen click Next.
- Select the Markings Set type: Choose List (non-ordered) or Hierarchical
(ordered, in which each level is superior to the level below it).
- Add Markings: Provide a name, then add the markings to the set
by clicking New Marking. This launches
the Create New Marking window which you will use to create one marking
at a time:
- Click OK when you are done creating
the marking. Repeat for each marking in the marking set.
NOTE Edits
to individual markings will not be persisted until you click OK
or Apply in the Marking Set window.
- Complete the wizard. The marking set you just created shows up in the
FileNet P8 domain property sheet's Markings Set tab.
- Create a property template. Right-click Enterprise Manager's Property
Template node and select New Property Template.
- Select data type: select String
type.
- Select choice list: select Assign marking
set and pick the marking set you created from the list.
- Single or Multi?: pick single if you want only one marking to
be applied from the marking set; pick multi if you want to apply more
than one marking.
- Complete the wizard. The property template you just created shows up in
the Property Templates node.
- Assign the property template to a class, just like you would any property.
Right-click the class (in either the Document Class
or the Other Classes node) that should be
associated with the marking set and select Add properties
to class. This launches the Add Properties
to a Class wizard which will let you add a property based on the
property template you just created. The new custom property shows up on the
right side of Enterprise Manager when you select the class.
- Create an object based on the class. For example, if you assigned the marking-enabled
property to a document class, run the Create a New Document wizard to create
a document based on that document class. (The wizard you use to create the
object will not set the marking value for the marking-enabled property. You
have to do that in the next step.)
- Set the markings on that object:
- Open the object's property sheet (not its class property sheet) and click
the Properties tab.
- In the property grid's Property Name column, find the property you added
to the class in the previous step.
- Click either the Property Value cell or the cell's ellipsis.
Any markings that have already been set as values for the property are displayed
in the list. You will also see Edit List.
- Click Edit List to open the Add/Remove
List Items window which you can use to add or remove markings. Note
that you will only be able to see those markings that you have permissions
to apply.
- When you are done setting values, click OK
to close the object's property sheet.
NOTES
- You
can view and edit the markings associated with an object by viewing its Security
tab and clicking Active Markings/Owner, subject
to whether you have "Use" permissions on the marking and subject also
to whether the cached values have refreshed.
- You
can use the Content Engine Query Builder to find all objects that have a particular
marking set or marking value.
