Tasks view
The Tasks view provides access to workflows
and work items that you have permission to view or work on. As workflows
are started (either manually or automatically), work items are routed
to queues for processing by authorized users. The workflow definition
determines where and when work items are routed.
Views
Select the type of queue to view:
- My Inbox view displays the queues and work items that are assigned directly to you. Each user has an Inbox queue, and your administrator can create other personal queues for you. You can select any work item in your Inbox, and view its properties or open it in the Step Processor to complete the item, reassign it to someone else, or view its attachments, data fields, milestones, and history.
- Public Inboxes view displays the queues and work items that are assigned to a group of people. Anyone in the group can select a work item from a public inbox to work on, and you can also move a work item from the public inbox to your own Inbox for processing. Access to an inbox, work item, or workflow is determined by the person who created the workflow. Therefore, you might not be able to see a specific public inbox or work item.
- My Active Workflows view displays any workflows that you launched from an object store. If you select Get Info for a launched workflow that has milestones, you can view the list of milestones. If you have Tracker privileges, you can view the status and history of the workflow steps.
- Task Tracker view displays work items that you have been designated to monitor, although you might not be the person responsible for completing all the steps. You can click a work item name to open it in the Process Tracker application.
Path
Lists the navigation path of the currently selected queue. You can click
on any part of the path to go to that view.
Inboxes
If too many items are listed in either My Inbox or Public Inboxes, you can use the filter to fine tune which items are displayed. Your administrator sets the filter criteria for these inboxes.
When you select Public Inboxes view, one or more inboxes are listed. Click the name of the inbox to view the available work items.
Click the work item's name to open the work
item in the task step page. From the task step page, you can perform these tasks:
- View or add attachments
- View or edit data fields
- View work group member names
- View milestones
- View the workflow history
- Complete the work item
- Reassign the work item to another worker
- Move work from a public work queue to your Inbox
The Step Name column shows the current step for the work item.
The Status column shows the status of a work item within the queue.
The Received On column shows when this work item arrived in the inbox.
Click Get Info to display the information page showing the properties and attachments for the
work item. You can also start the task step page to work on the item or reassign
the work item to another worker. If the work item is in a public inbox,
you can also move it to your own inbox.
