Enabling the Can Declare property on the appropriate document classes

IBM® InfoSphere™ Enterprise Records uses the Can Declare property on a document class to determine if it is permissible for a document to be declared as a record. You need to perform these steps after the data model has been applied and before subsequent new documents that need to be declared as records are added.

The Can Declare property setting can be automatically propagated to document subclasses.

For example:
  • You can set the Can Declare property on a class called MyDocument and then propagate the setting to all the subclasses of MyDocument.
  • To allow all document classes to be used for records, set the Can Declare property on the root class Document Class and then propagate the setting. You might not want all of your doc-classes to be eligible for record declaration.
  • To limit the Can Declare property to the MyDocument class only, enable it but do not propagate the setting.
Tip: After importing the Localization Add-ons in tasks See (Optional) Configure localized object stores or See (Optional) Configure localized object stores, the Can Declare property reverts back to the default value: False. Use the following procedure to set it to the desired value.
To enable the Can Declare property on the appropriate document classes:
  1. Identify all the document classes that contain content that can be identified as records. See the Installation and Upgrade Worksheet. Determine the Document classes on the ROS for which the Can Declare property must be set to True (which specifies that instances of the class can be declared as a record). Then, determine if the setting should be propagated to subclasses.
  2. Log on to IBM FileNet® Enterprise Manager as an object store administrator for the Record Object Store (ROS).
  3. Expand the Object Stores node and then the ROS node.
  4. Expand the Document Class node of the selected ROS.
  5. Complete the following steps for each appropriate class:
    1. Browse to the appropriate document class node, then right-click Properties.
    2. Select the Property Definitions tab.
    3. Scroll down and select the Can Declare property. For classes other than the Document class, enable the Inherited Properties checkbox so the Can Declare property is displayed.
    4. Click Edit.
    5. Select the More tab.
    6. Select True in the Default Value group box.
    7. Click OK.
    8. Click Apply.
    9. Select the Can Declare check box and click OK to propagate the Can Declare setting to all subclasses. This only applies to a document class that has at least one subclass. If the current document class has no subclasses, Enterprise Manager does not display the Propagate Metadata Changes screen.
    10. Click OK to close the Document Class Properties screen.
