Run Declassification Sweep

Declassification Sweep updates the declassification date on existing classified records for which the declarer did not specify the Declassify On Date or Declassify On Event values.

CAUTION If a record declarer specifies a Declassify On Date that is equivalent to the default declassification timeframe, IBM InfoSphere Enterprise Records treats the date as the default declassification timeframe, and Declassification Sweep updates the value accordingly. For example, an authorized user declares a record on January 1, 2000, and specifies the Declassify On Date as January 1, 2025. When RM is installed, the Default Declassification Timeframe is 25 years. On January 1, 2008, the records manager administrator changes the Default Declassification Timeframe to 20 years. After Declassification Sweep is run, the Declassify On Date value of the original record is updated to January 1, 2020.

Declassification Sweep is usually run after the IBM InfoSphere Enterprise Records administrator changes the default declassification timeframe. For information about the default declassification timeframe, see IBM InfoSphere Enterprise Records system configuration.

To run Declassification Sweep

  1. Log on to IBM InfoSphere Enterprise Records, and do the following:
    1. Click the Configure tab
    2. Click System Configuration to open the Configuration Items page.
    3. In the Configuration Items page, select Enabled from the drop-down menu in the Request Declassification Dates Update field.
    4. Click Apply to save the changes.
    5. Close the Configuration Items page.
  2. On the machine where IBM InfoSphere Enterprise Records Sweep is installed, do the following:
    1. From a command prompt, navigate to the RecordsManagerSweep folder.
    2. Configure Declassification Sweep by entering one of the following commands:
      • UNIX  ./RecordsManagerSweep.sh -DispositionSweep -configure
      • Windows  RecordsManagerSweep.bat -DispositionSweep -configure

      NOTE Declassification Sweep uses the same configuration as Disposition Sweep. However, Declassification Sweep requires a value for the ObjectStore Name field, in addition to values for fields required by Disposition Sweep, and ignores the values of fields that are not required by Disposition Sweep.     3. After you configure Declassification Sweep, enter one of the following commands:
      • UNIX ./RecordsManagerSweep.sh -declassifyOn
      • Windows  RecordsManagerSweep.bat -declassifyOn
