The Tasks page provides access to workflows and work items which you have permission to view or work on. As workflows are started (either manually or automatically), work items are routed to queues for processing by the appropriate people within your department or company. The workflow definition determines where and when work items are routed. If you have the proper access rights, you can use the Process Designer in the Author - Advanced Tools page in Workplace to create a workflow.
NOTE You can also access your Inbox tasks from within an integrated Office application.
The My Inbox view displays the queues and work items which are assigned directly to you. Each user has an inbox queue, and your administrator can create other personal inboxes for you. You can select any work item in your inbox, and view its properties or open it in the Step Processor to complete the item, reassign it to someone else, or view its attachments, data fields, milestones, and history.
The Public Inboxes view displays the inboxes and work items that are assigned to a group of people. Anyone in the group can select a work item from a public inbox to work on, and you can also move a work item from the public inbox to your own inbox for processing. Access to an inbox, work item, or workflow is determined by the person who created the workflow. Therefore, you might not be able to see a specific public inbox or work item.
NOTE Your site administrator can configure the filter criteria settings, column fields, and column labels displayed in your My Inbox and Public Inboxes views. You can filter the items in your inboxes based on the filter criteria. The filter restricts the items displayed for faster access and minimizes the amount of time you spend locating items in your inbox. See your site administrator for more information on this feature.
The My Active Workflows view displays any workflows that you launched. If you select a launched workflow that has milestones, you can view the list of milestones. You can also track the status of your workflow and view the step it is currently on. When you are assigned a tracker, a tracker link is available to you in the My Active Workflows Info page.
The Step Name column displays an ellipsis to indicate a specific workflow includes multiple steps. When you view the information page for a workflow that includes multiple steps, you can view the names of the steps on the information page. You must have the appropriate access rights to view the names of the steps for a specific workflow. However, if you are assigned as a tracker for a work item, you can still view the workflow details from the information page.
The Task Tracker view displays work items that you have been designated to monitor, although you might not be the person responsible for completing all the steps. You can click a work item name to open it in the Process Tracker application.
When a workflow is first started, the work item is opened in the Launch Step processor. After the Launch step is completed, the work item moves to the Step Processor for subsequent steps. Workplace supports the standard launch processor, the step processor, and an HTML form processor (if you have the optional FileNet P8 eForms installed). Custom applications can use a custom step processor.
