Select Item Page
The Select Item Page user preference defines the default search criteria for the Search page that opens when you are prompted to select an item.
NOTE An information icon
next to each settings group denotes that these settings are used in Workplace XT secondary pages only.
General settings
The General settings define the default search criteria for the Search page that opens when you are prompted to select an object. You can set Display and Content Contains Settings values.
- Search In specifies the object store, and optionally a folder
that is searched. To select an object store, click Change Search
In. Select the object store from the Select Item page. To specify a folder, click the + sign to the left of the object store name. Navigate to the folder and click its name to select it.
- Default Search For specifies the default
type of object to search for on the Search page. You can select Documents or Folders.
- Show Search For determines if the Search For list is displayed on the Search page. Options are Show to display the Search For menu or Hide to hide it.
- Default Search View specifies the default search page that is displayed for a specific object store. Options are Default, Simple Search or Search Templates. Default uses the option defined by your administrator. You can also specify the default search page from the simple search or search template views. The default you choose there overrides this preference setting.
- Search Selection Mode specifies the way searches are displayed when you click Change Search In or Change Search Template from a search page and select a specific search template or object store. Searches can be displayed as a flat list or in folder navigation. The Flat List displays the object stores and all searches stored within. Folder Navigation displays the object stores and you navigate to the folders that contain all searches stored within their respective folders. Default uses the option defined by your administrator.
NOTE Folder Navigation is always used, regardless of the Search Selection Mode you selected, when you use simple search and you click Change Search In to select a different object store in which to search.
- Relevancy Ranking determines
if the search results are sorted with the document with the most matching
words listed first. To rank the results,
select On.
NOTE Keyword searching must be enabled on the object store.
- Search Scope determines if
the terms used in the search must appear near each other or if the terms
can appear anywhere in the searched text. Select Near
if the terms must appear within a set number of words of each other.
The Near operator can be used to search for a single term in Search.
Select Any if the terms can appear
anywhere in the searched text.
NOTE Keyword searching must be enabled on the object store.
- Range determines number of words
for the Near operator.
NOTE Keyword searching must be enabled on the object store.
The Documents settings define the basic search criteria for all
document and form searches you access for the Search page that opens when you are prompted to select an object. After you select an object store, the General Settings and Property Criteria Settings are displayed.
You can then type values for the following fields:
- Default Filter Class determines
the document subclass to use for the search. By default, all document
classes are searched unless you specify a specific class. Specifying a class means that only items assigned to the specific class are displayed after the search is complete. Click
Select Class to select a specific class from the Select
Filter Class page. Click Clear Class to remove the class that was selected.
- Include subclasses determines if
the search should include subclasses of the class selected for Default
Filter Class. To include subclasses, select the check box.
- Show Filter Class determines whether the Filter by Class criteria field is displayed in the Search page that opens when you are prompted to select an object. Options are Show to display the Filter by Class field or Hide to hide it.
- Show Version Option determines whether the Version Option criteria field is displayed in the Search page. Options are Show to display the Version Option field or Hide to hide it.
- Version Option determines which version of documents to return in the search results. Based on your selection, Released Version, Current Version or All Versions are displayed when your search completes. If you specify a folder-level search, the Filed Version option is always used. Filed Version is the version of the document as it was originally filed in the folder you are searching.
- Show Content Contains determines
if the Content Contains criteria field
is displayed in the Search page
for you to search for a specific word, groups of words, or phrases in a document. Options are Show to display the Content
Contains field or Hide to hide
it. NOTE To use this feature, the object store must be enabled for search indexing.
- Show Summary in Magazine view determines whether a summary description about each search result is displayed in a Magazine view of the search results. Select this option to view a summary.
- AND/OR Content Criteria determines which operator, AND or OR, is used with the Content Contains criteria field in the Search page that opens when you are prompted to select an object.
- Max Results determines the maximum number of items displayed in the search results.
- Property Criteria Settings determine
the properties and operator criteria that are displayed in the Search page. You can select up to five properties and the operator
for each property as well as specify an AND or OR join operator for each property. You can select a property to use to sort the results.
See Property Criteria Settings for more information on setting up the properties and operator criteria that is displayed on the Search page.
The Folders settings define the basic search criteria for all folder
searches you access in the Search page that opens when you are prompted to select an object. After you
select an object store,
the General Settings and Property
Criteria Settings are displayed. You can then type values for the following fields:
- Default Filter Class determines
the folder subclass to use for the search. By default, all folder classes
are searched unless you specify a specific class. Specifying a class means that only items assigned to the specific class are displayed after your search completes. Click Select Class to select a specific class from the Select Filter Class page. Click Clear Class to remove the class that was selected.
- Include subclasses determines whether the search should include subclasses of the class selected for Default
Filter Class. To include subclasses, select the check box.
- Show Filter Class determines if the Filter by Class criteria field is displayed in the Search page. Options are Show to display the Filter by Class field or Hide to hide it.
- Max Results determines the maximum number of items displayed in the search results.
- Property Criteria Settings determines
the properties and operator criteria that are displayed in the Search page. You can select up to five properties, the operator
for each property as well as specify an AND or OR join operator for each property. You can select a property to use to sort the results.
See Property Criteria Settings for more information on setting up the properties and operator criteria that is displayed on the Search page.
Property Criteria Settings
You can use the AND
and OR
operators with each of the properties to build a search expression. The AND
operator returns results only when all of the values match. The OR
operator returns results when one or more of the property values match.
If you want to search for more than one value for the same property, the property must be listed more than once for you to select the values. For example, you might have a multi-value property named Breeds. To search for Collie or Poodle, select criteria similar to this:
Breeds = Collie OR
Breeds = Poodle
The search evaluates the property values in the order listed, one row at a time, and any property without a value is skipped. If you specified three or more properties, all of the properties that are ANDed are then evaluated first as a group. If an OR is used between two ANDed property groups, the results from the first ANDed group of properties are added to the second ANDed group of properties. For example, a search consisting of property A and property B or property C and property D is evaluated by first getting the results of property A and property B and then adding the results from evaluating property C and property D.
The following examples evaluate to different results.
Property 1 = Report OR
Property 2 = OR
Property 3 = AND
Property 4 not = cat |
Evaluates to:
Property 1 = Report OR Property 4 not= cat |
Property 1 = Report AND
Property 2 = AND
Property 3 = AND
Property 4 not = cat |
Evaluates to:
Property 1 = Report AND Property 4 not= cat |
After the property values are evaluated, the search options and content value are checked. You decide if you want to search on properties AND
content or if you want to search on properties OR
content.
Property Value Wildcards and Search Operators
You can use wildcard characters for string-based property values when using the starts with, ends with, and contains operators.
- Use a percent sign (%) to stand for zero or more characters. For example, searching for IBM FileNet P8%Guide could find documents with titles of IBM FileNet P8 Troubleshooting Guide and IBM FileNet P8 Security Guide 4.0.0.
NOTE If you use a percent sign at the beginning of your search text or use the contains or ends with operator, search looks through the entire search index for the object store. If the index is large, the search could take a long time to return results.
- Use an underscore (_) to stand for a single character. For example, searching for r_n finds documents or folders whose names contain ran or run but not rain. You cannot, however, include an underscore in your search text as a literal, because search automatically treats the underscore as a wildcard character. For example, searching for all folders that start with Folder_ would return results such as FolderA as well as Folder_1 and Folder_2.
