Work with search templates

Search templates are readily available from a Search page. Click Use Search Template to access a search template from the Search view. In Browse view, search templates appear in your folders along with other objects. When you click the name of the template, it runs its search.

Only an administrator with access to Search Designer can create and modify the search criteria used in search templates.

You can do the following tasks before executing a search using search templates:

NOTE  If a search template has an object-value property condition with the View assigned as Editable and the Operator assigned as "Is Equal to" (=), you can select an object for the object-value property. If you don't select a value, the condition is discarded when you run the search template.

You also have the option to bookmark a search template and click Get Info to access the properties on the search template you use. In addition, you can add search templates to your personal list of shortcuts. See Add to Shortcuts.

If you want to access simple search, click Use Simple Search from search templates.

Specify search template to use

You can change the search template you want to use at any time. Click the Change Search Template link and another page appears displaying object stores arranged in a tree view structure, where you locate another search template.

In addition, you can also set a default search view for a specific object store. The default you specify overrides the Default Search View user preference and becomes the default search view for a specific object store. Click Set as Default to select an object store.

Search Results

Your search results are displayed in an Items Found list. Use the View and Show Items drop-down menus to change the way your results are displayed. The View menu determines if your results are displayed in Detailed or Magazine view. The Show Items menu determines the number of items displayed on the page.

Use the Actions Menu to view a list of available actions to perform on selected items.

To run a search template

  1. Locate a search template by doing one of the following actions:
  2. Review the search criteria. A red asterisk, which is the Required icon appears before any criteria where an entry is required.
  3. Make your own entries to property values you can access and modify.
  4. If needed, change the value for Max Results returned and click Select Folder if you want to specify a different folder in which you want to search.
  5. To execute the search, click Search.
  6. You can click Show Search Criteria or Hide Search Criteria to toggle displaying the search criteria.
  7. To restore default settings to any entries you have changed, click Restore.
