Welcome to Workplace
Workplace provides you with the tools to manage a full range of objects
including documents, folders, searches, entry templates, workflow subscriptions,
and custom objects.
How does it work?
Workplace is a tool-rich resource that you can use in a broad
range of ways. Each of the Workplace Primary Views provides the tools you need to manage your documents, folders, searches, and data. Your administrators can customize the names of primary views, add new ones, and limit access to others, so some names used in the Help might be different on your system. Ask your administrator which names have been changed.
- My Workplace provides custom pages for you to access multiple views in Workplace from one page. You can create your own custom pages, and your site administrator can define group views for users to share. In some cases, My Workplace might be the only view you see. See My Workplace view .
- Tasks provides access to
workflows and work items that track your business processes. You can open and review work items, attachments, and properties, reassign work to other users, and complete a step in the workflow. See Tasks view.
- Shortcuts provides quick access to folders, searches, and entry templates that you frequently use. You decide which items to add to your shortcuts list. See Shortcuts view.
- Browse lets you browse through all your
object stores and folder hierarchy to find objects, such as a Word document.
From Browse, you can use pop-up menus to apply actions to an item, and you can access the information page for an object. The information page displays the object's properties
(for example, security settings) and provides actions for the item (for example, Check
Out, File, or Move a document). If you have appropriate access rights, you can modify the security and properties for an item. See Browse view and Work with Information views.
- Search provides a quick, on-the-fly, personal search and access to stored search
templates that you can fill out and run for locating items. See Search view.
- Author provides both general and advanced authoring tools to help manage your documents, folders, searches, workflows, and business objects.
- With the General Tools view, you can
add new documents, folders, and Custom Objects, or use an entry template to add the item.
You can also check in documents, or cancel a document checkout. Finally, you can download Application
Integration, a process that integrates Microsoft Office® and Outlook with Workplace by adding such Workplace actions as document
check in and check out to Office and Outlook menus. See Author view.
- The Advanced Tools view provides access to tools for creating entry templates, search templates, publishing templates, workflow subscriptions, and more. Access to process-related tools, such as Process Designer, Workflow Subscription Wizard, Process Simulation Designer, and
Process Simulation Console, are restricted to users with appropriate access rights. Your site administrator determines the access rights. For more information, click the Help link on the Advanced Tools page.
- Admin provides access to administrative tools for configuring Workplace. Access to the Admin page is restricted to users with appropriate access rights. For more information, click the Help link on the Admin page.
The various help sections that follow provide you with basic concepts and procedures for using
Workplace. If you are new to working with Workplace, you can read the Basics topics first.
