Open assigned work

When workflows are running, work assigned to you appears in your Inbox. If you have been assigned as a tracker for a workflow, tracker items are routed to your Tracker folder.

To open work assigned to you

  1. In Personal Work Manager, open your Inbox or Tracker folder.
  2. In the list of work on the right, double-click on a work item to open it.

TIP You can also choose to receive new work by email. See Set user preferences.

NOTE If you start another session of the browser, you can open a work item that you already have open in the original session. Since a work item cannot be unlocked in two places, the item in the original session is locked and you can make changes in the work item only in the later session.

Items in Inbox

Work items routed to you appear in your Inbox. In the illustration below, the second item is locked by the current user. A custom column (Title) representing an exposed field displays the value of the field in the third item. See Customize column display for instructions for displaying a custom column.

When you open a work item from your Inbox, the step processor displays instructions, data, attachments, response choices, and other resources that you need to complete the work.

Items in Tracker

If you have been designated as a tracker for certain workflows, an item will appear in your Tracker queue each time one of those workflows is launched.

NOTE The values for items listed in the Tracker folder are the values that were present when the workflow was launched. The values in this list do not change even if the actual values of the fields change during workflow processing. In the illustration above, a custom exposed field (Customer) shows the value of that field at launch. See Customize column display for instructions for displaying a custom column. When you open a tracker item, the current state of that workflow displays, including the values of fields at the active steps. You can examine the workflow history and step information, and you can make some changes. See Help for Process Tracker for further information about working with tracker items.

Items remain in your Tracker queue until you delete them manually. See Toolbar and Symbols for information about identifying and deleting completed tracker items.

Items in Milestone Tracking

When you open Milestone Tracking, a list of workflows you launched that contain level 1 milestones appears in the right pane. Double-click an item in the list to see the workflow's level 1 milestones reached.
