Search creation process

As a search designer, you need to determine what kinds of searches your users will need.

Creating a search includes these activities:

Icon Activity Description

Set the Search Designer options The options determine how a search works, so you should make sure they are set correctly before creating a search. Each time you start Search Designer, the options start with the original defaults. Any changes you make apply only to the current session.

Select Search Template or Stored Search This drop-down box is at the top of every tabbed window, but you should make the choice first. Changing the type of search later could require you to redo some work.
Select object stores
Select object stores You can select one or more object stores to search. A choice in the Search Designer Options determines whether you see all properties of all the object stores or just the properties that are common to all object stores.
Select the object types
Select the object types You can select documents, folders, or custom objects using the check boxes. Each main object type can have subclasses that you choose in the grid below. For example, stored searches and publish templates are types (subclasses) of documents.
Select subfolders
Select subfolders

As an option you can select one or more subfolders so the system will only look in the designated folders when searching for objects.

Enter search criteria
Enter search criteria You enter search criteria by choosing views, properties, operators, and values (in the case of a property search) or words and modifiers (in the case of a content search). Properties consist of system values (like document ID or entry date) and custom values that are specific to your site (like name and account number). Operators define the relationship between the property and its value, such as date equal to or greater than a value you specify. You can also look for words that appear in indexed documents and choose a modifier that determines when the search criteria has been met.
Format the results
Format the results Formatting the results consists of choosing which data to display, how to align it, and how to sort it.
Save the search
Save the search by adding it to an object store After you add a search to an object store, users can use it to search. You can modify it by checking it out of the object store, updating it, and then checking it back in. A stored search or search template can search any object stores you select as part of the criteria, regardless of where the search resides.
Test the search
Test the search

You can test the search within Search Designer after adding it to an object store. You can also test the search within Workplace or Workplace XT.
