Specify republish instructions

The options that you select on the Republish Instructions tab are applied when a Workplace user republishes a document. The options you see depend on whether the publication document is versionable. See About versions.

If the publication document is versionable

You can select one of the following options for republishing when the publication documents are versionable:

  • Version the current publication document Click this radio button to add a new version to the publication document when the document is republished. If a document has been republished once, you will see versions 1 and 2 in the Versions informational page of the publication document. Users could view version 1 from this page. In browse mode, you see only the republished document.
  • Version and replace the current publication version Click this radio button to replace the current version of the publication document with a new version when the document is republished. If a document has been republished once, you will see only version 2 in the Versions informational page. Users will know that a previous version existed because of the version number, but version 1 is not available. In browse mode, you see only the republished document.
  • Add a new publication document Click this radio button to publish a new document without deleting the existing publication document. The original publication document and all republished publication documents are selectable in browse mode. No additional versions are ever created.
  • Add a new publication document, replace the current document Click this radio button to publish a new document that replaces the existing publication document. If a document has been republished, you will not know that a previous version existed. You see only one version and it is version 1. In browse mode, you see only the republished publication document.

If the publication document is non-versionable

You can select one of the following options for republishing when the publication documents are non-versionable:

  • Add a new publication document Click this radio button to publish a new document without deleting the existing publication document
  • Add a new publication document, replace the current document Click this radio button to publish a new document that replaces the existing publication document.

Properties of the new publication

You can select one of the following options for assigning properties to a republished document:

  • Use properties of the current publication document Click this radio button if you want the republished document to have the same properties as the current publication document.
  • Use properties defined under 'Properties to Apply' Click this radio button if you want the republished document to have the properties you specified on the Properties to Apply tab. Choosing this option applies any changes made to the publishing template since the last publishing pass.

Security of the new publication

You can select one of the following options for assigning security to a republished document:

  • Use security of the current publication document Click this radio button if you want the republished document to have the same security as the current publication document.
  • Use security defined under 'Security to Apply' Click this radio button if you want the republished document to have the security you specified on the Security to Apply tab. Choosing this option applies any changes made to the publish template since the last publishing pass.

NOTE  If you click the Use the default security of the publication document's class radio button (on the Security to Apply tab), you must select an appropriate document class (on the Properties to Apply tab) in order to publish versionable or non-versionable documents. For example, if the document class you select in the publish template is non-versionable, the publication documents created using that template are non-versionable.

Republish event notification

You can select one of the following options for assigning an event action to a republished document:

  • Use the event action specified under Publish Instructions Click this radio button if you want the event action that was specified on the Publish Instructions tab to be invoked when the document is republished. This option is selected by default when you create a new template. If an event action is not specified on the Publish Instructions tab, and you select this option, an event action is not invoked when the document is republished.
  • None Click this radio button if you do not want to invoke an event action when the document is republished.
  • Specify the republish event action Click this radio button if you want to specify the event action that will be invoked when a document is republished. For more information, see the Specify republish event action topic.

When republishing a document, the latest version of the publish template is used. For example, if you publish a document, modify the publish template, and then republish the document, the document is republished according to the instructions in the modified publish template.
