Specify field usage in steps
In the workflow properties, you can specify the steps where each field (data field, attachment
specification, milestones, or rule) will be used. (This is an alternative to specifying these items as
you define the properties of each step.)
TIPS
- The steps must already be present on the workflow map.
- You can also use this dialog box to check the steps where a particular field is used as a parameter.
However, if you use a field in an expression for an assignment at a step, this dialog box will not indicate
that usage.
To specify steps where fields, attachments, milestones, or rules will be used
as parameters
- If the Workflow Properties dialog box is not open, select Action > Workflow Properties.
- On the appropriate tab, select a data field, attachment, or milestone, or rule.
- Click <item> Usage on the dialog box toolbar.
- In the Usage dialog box, select the map (submap) that contains one or more steps where the
selected field will be used.
NOTE The list of maps is restricted to modifiable maps for you to select steps where a field, attachment, milestone, or rule will be used. Some steps on inherited maps might use fields, attachments, milestones or rules, but the inherited maps that contain these steps are not included in the list of maps because these maps are read only.
- In the list of available steps, select the steps where the selected field will be used, then
click the right arrow to move them to the Selected Steps list.
- Specify the security privileges for the field: Read, Write,
or Read/Write.
- To specify the steps where another field will be used, choose the field from the Field Name
list, then repeat steps 4 through 6.
NOTES
- Specifying the Field Usage of a parameter to a Step will populate the Step Parameter Prompt with the Workflow Data Field Description. Modifying or updating the Workflow Data Field Description will not automatically update the Step Parameter Prompt. You must specify or re-specify the Field Usage of the parameter to update the Step Parameter Prompt.
- If
this workflow will be launched automatically using events specified in
workflow subscriptions (Workplace or Workplace XT),
you can optionally define data fields that will be populated with property values from the document
that automatically launches the workflow. Those data fields must be parameters for the launch step.
