Launch a workflow from a subscription

You or your site administrator can define subscriptions to associate documents, folders, forms, or custom objects (Workplace only) with a workflow definition for manual launch. When you access the Information page for the object, you can select the Launch action to display the list of subscriptions that you can launch a work item for. The items listed depend on the subscription settings.

Subscriptions can be defined for a document class, a folder class, or a custom object class. The subscription settings determine how many objects are displayed in the Launch page. If there are no subscriptions defined, then nothing is listed, and you cannot launch the workflow.

NOTE  Your site administrator can also define workflow subscriptions that associate a specific document, folder, form, or custom object (instead of an entire class or subclass) with a workflow.

To launch from a subscription

  1. Navigate to the object store and folder that contains a document, folder, or custom object that has a subscription defined for the item or its class.
  2. Right-click the item, and then select Launch from the menu. The Launch Workflow page opens and displays the list of available subscriptions.
  3. Click Launch under the description for the workflow. The Launch Step page opens. If the workflow is designed to launch a form, the form opens instead of the Launch Step page.
  4. As needed, enter any information for the launch step. You can add comments, modify the Subject, and set any parameters defined for this step. For example, you can add and edit attachments, edit data field values, or edit the workflow group members if these are defined as available in the launch step. If you are working with a form, use the buttons that apply.
  5. Do one of the following to save your changes:
  6. Click Launch in the list of Actions to move the work item to the next step in the process.
  7. The Launch Workflow page is displayed again. You can launch another workflow, or click Exit to return to the Information page for the item.
