Launch Step
The Launch Step page displays the subject, properties, step names, and comments available for the workflow. The properties include participants, attachments
and data fields. You can modify the existing values,
but you cannot add more steps or properties.
Subject
The default value for the subject comes from the workflow definition. If the workflow was launched from an entry template, the subject is the name of the workflow plus the name of the document added. You can change the value as needed.
Properties
The list of properties includes the data fields defined in the workflow and the participants defined for each step. Edit the property values by typing new values into the fields or by clicking a step name to select participants.
Attachments
The available attachments are listed. To view or edit the assigned object for a particular attachment, click the Expand Attachment Items icon next to the desired attachment. The Primary Attachment is the document or item that triggered the workflow. When the attachment object is displayed, the following controls are available:
- Add New adds an attachment placeholder for an object from an object store. The attachment can be a document, a form, a folder, or a custom object.
- Add New UNC/URL adds an attachment placeholder for an object from a network storage location, such as a a file in a shared folder or an external Web site. The attachment can be any electronic file or Web page.
- Assign assigns a object from an object store to a specific attachment placeholder. The attachment can be a document, a form, a folder, or a custom object.
- Assign UNC/URL assigns an object from a network storage location, such as a shared folder or an external Web site, to a specific attachment placeholder. The attachment can be any electronic file or Web page.
- Unassign removes the object currently assigned to a specific attachment placeholder.
Comments
You can add a text comment for this step.
Launch
Click Launch to launch the work item for further processing.
Close
Click Close to close the Launch step without launching the work item.
To change the participants for a step
- Click the step name to open the Select Participant page.
- Search for the desired user or group names to add.
- Select the Users option or the
Groups option to refine the list
of names available.
- Type one or more characters for the beginning of the names to search
for. For example, to locate users named aalberto and amoss, type a.
All user names beginning with "a" are returned. You can
narrow the search by entering more characters. For example, aal
would return aalberto and aallen, but not alemon or amoss.
- Click Search. After a brief delay,
the matching names are displayed.
NOTE If
the number of matching names is greater than the default for displaying,
not all matches are displayed. You will need to change the search
criteria and click Search again to
see more results.
- When you are satisfied with the results, select the desired names
from the Available Participants list.
Click the Add One icon to add the name to the Current Participants list. Or, click the Add All icon
to add all users to the list. You can use Ctrl+Click or Shift+Click
to select more than one name in the list.
- If needed, repeat the search to add additional names. For example,
to add the users jsmith and wwilson, you would need to search for
users beginning with "j" and then search for users
beginning with "w."
- To remove a participant, select the desired user name from the Current
Participants list. Click the Remove icon to remove the name from the Current Participants list.
- Click Accept to save your changes
for participants.
To modify an attachment
- Click the Expand Attachment Items icon next to the desired attachment to display the item assigned to the attachment.
- If the attachment is an array (a group of objects), then you can add additional items. Click Add New or Add New UNC/URL to add another item to this attachment. For more information, see View and edit attachments
- Click Assign or Assign UNC/URL to assign an object to the attachment item. For more information, see View and edit attachments.
- To remove an item assigned as an attachment, click Unassign below the description on the attachment.
To launch the work item
- If needed, modify the property values.
- If needed, modify the participants. See procedure above.
- If needed, modify the attachment assignments. See procedure above.
- Click Launch.
