Workflow Subscription wizard

You can use the Workflow Subscription wizard to define subscriptions to associate a document class, a folder class, or a custom object class with a workflow definition for manual or automatic launching. The subscription definition determines which events will cause the workflow to launch. For example, an approval workflow could be launched when a new document is added or when a new version of the document is checked in. If the subscription is configured for manually launching the workflow, the user must click on the Launch action in the pop-up menu or in the Information Page page and then select the manual workflow to launch.

To create a subscription, you must have the following qualifications:

To start the Workflow Subscription wizard

Select the method for your application from the table below.

  1. Click Author to access the Author page.
  2. Click Advanced Tools to open the Advanced Tools view of the Author page.
  3. Select one of the following options:
    • To create a new workflow subscription, click Add Workflow Subscription.
    • To modify an existing workflow subscription, click Modify Existing just below the wizard name.

      You can modify subscriptions that were created in Enterprise Manager or in Workplace. However, in Workplace you can only modify subscriptions created in Enterprise Manager that are defined as a class subscription. You cannot modify a subscription to an instance (that is, a subscription to a particular document, folder, or custom object) from within Workplace.
  1. From the Tools menu, highlight Advanced Tools, and then select Workflow Subscriptions.
  2. Click one of the following options:
    • To create a new workflow subscription, click Add.
    • To modify an existing workflow subscription, click Modify.
    • To delete an existing workflow subscription, click Delete.

You must complete the following steps to define a workflow subscription

  1. Select the target class for the subscription.
  2. Select the workflow to launch.
  3. Set the subscription properties.
  4. Set the trigger condition expression.
  5. Set the property mapping.
  6. Set the subscription security.
