Preview and test

Once you have finalized the search criteria, formatted the results, and checked the search into an object store, you can test it within Search Designer to make sure it finds the correct documents and displays the correct properties and formats.

With the newly checked in search still in the Search Designer window, click the Launch button or choose Launch from the File menu. A stored search executes and displays the results in a new browser window. A search template opens in a new browser window where you can modify any editable values before running the search.

Enter values for any required fields that have no defaults and then click the Search link. When the results display, you can click the Hide Search Criteria button to maximize space available for search results. The search criteria disappears and the hide search criteria button changes to the Show Search Criteria button. You can also click the Show Search Criteria button to show the search criteria so you can try out different values.

You can click the Get info button to get information about any document in the results list. At the bottom of the page, there can be additional page numbers if you get more results than can fit on one page. Click a page number to move to that page.

If the search is no longer open in Search Designer, you can test it directly in Workplace or Workplace XT by browsing to the search and clicking its name. In Workplace, the Search view in shows only search templates (and object stores) while the Browse view you can locate stored searches. You can use the All Searches folder in Workplace XT to locate the searches.

NOTE Workplace, Workplace XT and the Search Designer reference the General Settings for Folder Filter site preference setting. In Workplace, this filter only applies to search templates and not stored searches. Stored searches are recognized as folders in Workplace and they are not filtered.

Search Designer filters both search templates and stored searches. Therefore, if the number of documents returned surpass the setting defined for this preference, the filtered results displayed in Workplace or Workplace XT might be different than what's displayed in the Search Designer.

Take note users can also do the following tasks before executing a search using search templates:

  • Select or clear User if there is a user assigned, such as Creator.
  • Select or clear Object if there is an object type property, such as "this".
  • Select Folder to search in if the template contains editable subfolders.
  • Clear subclasses if the template contains editable subclasses.

Once you have modified a search, you must check it back in to preview it. The Save command or the Save button saves your changes without checking in the document or changing the version number.

After saving your modifications, the Launch command is not available. You must check the search back in to be able to preview it.
