Create roles
If you will create an IBM ECM Widgets application or other custom application that uses this workflow, create roles to specify which users can access specific types of workflows. For each role, you specify the URL of the home ECM Widgets page for that role, the users who are members of the role, and the in-baskets that will be accessible for the role. See Application spaces, roles, and in-baskets for more information.
Before you define a role, you must specify an application space for the current workflow collection. There is a default application space, “DefaultApplication”, created when the region is initialized, or you can create a different application space. See Workflow Collection Properties for more information.
To define a role
- If the Roles panel is not already open, use the following steps to access the Roles panel, depending on which Process application you are using:
- In Process Configuration Console, select the Application Spaces folder, right-click an application space and select Properties. Click the Roles tab.
- In Process Designer, select View > Roles.
- To define a new role, click Add on the Roles bar. Double-click the new entry and replace the default name, NewRole1, with a new name.
Some users will be assigned to more than one role, so the name should provide some clue of the type of work.
- Optionally enter a description for this role.
- Enter a URL of the home page of this role where the user will select an in-basket with work items.
If you know the URL, you can enter it and select Preview to view the home page.
If the URL is blank, you can click Preview to browse the ECM Widgets server for an existing home page for this role.
To use Preview, you must have the Server Base URL of your ECM Widgets server defined as a Web Application. See Set web application properties for an isolated region for more information.
- Select one or more in-baskets that will be available for this role. If the in-basket does not exist, click the Create in-basket button to create a new in-basket. See In-basket Creation wizard in Configuration Console or the In-basket tab in Process Designer for information.
- To assign members for this role, click Modify and select the users or groups to be members of this role. These users will be able to select this role and open the in-baskets to process the work items. See Participant Selection for detailed information.
- Click Commit Changes on the Action bar of the Configuration tab if you are in Process Designer to save your configuration change.
