Set User Preferences

On the User Preferences page, you can elect to receive email notification of various Process events by entering your email address and indicating the types of events for which you will be notified. If you receive email notification of assigned work, tracker items, and milestones, the work items appear in both your email and in the corresponding queues—your Inbox and tracker queues on the User Queues tab, and on the Launched Workflows tab.

Also on the User Preferences page, you can specify the user who receives your work when you are out of the office.

To set your preferences

  1. Click the Preferences tab on the Process page.
  2. Set each option as appropriate. See the table below.
  3. When you have finished setting your options, click Apply changes on the toolbar.

    To restore the settings that existed when you opened the Preferences tab, click Restore previous settings.

    To restore the default settings (clear all checkboxes and fields), click Restore defaults.

General

Email address

Enter your email address. Messages will be sent to this address notifying you of the events you select. Use the form: username@companyname.com

Step Notification

New assignment

Receive email notification when a new work item enters your Inbox.

Reminders

Receive email notification when a reminder is activated for a work item in your Inbox that has a deadline.

Expired step deadline

Receive email notification when the deadline for completing a work item in your Inbox has expired.

Originator Notification

Milestone reached

Receive email notification when a milestone is reached in a workflow you launched.

Tracker Notification

New tracker assignment

Receive email notification when a workflow is launched and you are assigned as a tracker for that workflow.

Workflow deadline reminders

Receive email notification when a reminder is activated for a workflow you are tracking that has a deadline.

Workflow deadline expired

Receive email notification when a deadline expires for a workflow you are tracking and that workflow has not completed.

Workflow exception

Receive email notification when an exception has occurred in a workflow you are tracking.

Expired step deadline

Receive email notification when a deadline for completing a work item in a workflow you are tracking has expired.

Milestone reached

Receive email notification when a milestone is reached in a workflow you are tracking.

Out of Office

Person to receive work

Specify which user will receive your work while you are out of the office.

If the assigned user is also out of the office, a message informs you and verifies that you still wish to assign your work to that person.

NOTE This setting takes effect immediately—the person designated in this setting will receive your work until you clear this setting.

   

TIP Work items assigned to you will be delivered as email messages, as well as appear in your Inbox. You can open and process the work from the email message or from the Inbox.

After you complete a work item or reassign it to another participant, the work item is no longer in your workflow Inbox; however, the email message remains in your email Inbox. You must delete the email message manually. If you try to open a completed work item from your email, the system displays a message that it cannot find the item. You must also manually delete email messages regarding tracker items and launched workflows once you have deleted these items from their corresponding queues.
