Specify field usage in steps

In the workflow properties, you can specify the steps where each field (data field, attachment specification, workflow group) will be used. (This is an alternative to specifying these items as you define the properties of each step.)

TIP The steps must already be present on the workflow map.

To specify steps where fields, attachments, and workflow groups will be used as parameters

  1. If the Workflow Properties dialog is not open, select Workflow Properties from the Process Designer toolbar.
  2. On the appropriate tab, select a data field, an attachment, or a workflow group.
  3. Click the Field Usage button on the dialog box toolbar.
  4. In the Field Usage dialog, select the map (submap) that contains one or more steps where the selected field will be used.
  5. In the list of available steps, select the steps where the selected field will be used, then click the right arrow to move them to the Selected Steps list.
  6. Specify the security privileges for the field: Read, Write, or Read/Write.
  7. To specify the steps where another field will be used, choose the field from the Field Name list, then repeat steps 4 through 6.

NOTE If this workflow will be launched automatically using events specified in either the Link application (FileNet Web Services Client or Open Client) or workflow subscriptions (Workplace), you can optionally define data fields that will be populated with property values from the document that automatically launches the workflow. Those data fields must be parameters for the launch step. For further information, see one of the following topics:

 

   

TIP You can also use this dialog to check the steps where a particular field is used as a parameter. However, if you use a field in an expression for an assignment at a step, this dialog will not indicate that usage.
