Work with attachments, fields, and workflow groups

The work item displays any attachments, data fields, and workflow groups required to complete the work at that step in the workflow. (If there are no attachments, fields, or workflow groups displayed in the work item, these parameters are not used.) These parameters might be read-only, or you might need to enter data as part of the processing for the work item. Your access for each parameter in the work item is specified in the workflow definition. The instructions for the work item should provide information regarding what you need to do with each parameter.

Attachments

The Attachments area on a work item page provides access to items in your object store or library (documents, stored searches, and so on), web addresses (URLs), and files located on a shared disk. See About attachments for general information on attachments.

Each attachment can have a specific assigned document, or there may be no document assigned—the value of the attachment is blank. Use the buttons on the Attachments toolbar to assign or unassign a document to an attachment, or open a document assigned to an attachment.

The access privileges specified for each attachment determine whether you can change which document is assigned to the attachment.

  • Read privilege displays the name of any document assigned to the attachment. You cannot change which file or document is assigned to the attachment.
  • Write privilege allows you to assign a different document to the attachment, although the name of any currently assigned document (if any) does not display. See Assigning a document to an attachment or Adding a document to an attachment array, as appropriate.
  • Read and write privilege displays the name of the document assigned to the attachment (if any), and you can assign a different document.

NOTE An attachment is only a reference to an item and does not ensure that you have access in the object store or library to open the document. If you do not have access to the item assigned to an attachment, the toolbar buttons and context menu items are disabled.

Data Fields

A data field displayed on a work item page can be informational only or can allow you to change the value of the field as part of the processing.

  • Read privilege displays the current value of the data field, but you cannot change it.
  • Write privilege allows you enter a value, but does not display the current value (if any).
  • Read and write privilege displays the current value (if any) and allows you to change the value.

Note that there are default values for all data types except strings, so the values of these fields are not blank unless the field has Write access:

  • Float: 0.0
  • Integer: 0
  • Time: systemtime()
  • Boolean: True

Workflow Groups

A workflow group listed on a work item page can be informational only or can allow you to specify participants for the group. If the workflow group is specified as a participant for a subsequent step in the workflow, your changes will be in effect for that step.

  • Read privilege displays the list of users specified for the workflow group, but you cannot change the list.
  • Write privilege allows you to modify the list of users, but does not display the current list.
  • Read and write privilege displays any current list of users for the workflow group and allows you to change it.
