Managing work in progress

A workflow administrator monitors workflow activity and, when necessary, modifies running workflows to resolve bottlenecks or other disruptions to the flow of work. A workflow tracker also monitors and manages workflows, but generally on a smaller scale than a workflow administrator. A tracker focuses on a specific workflow, while an administrator is potentially concerned with any workflow in the system.

The primary tools for managing work in progress are Process Administrator and Process Tracker.

Process Administrator

With Process Administrator, you can search for and view workflows, edit workflow data and properties, and manage workflows. Process Administrator provides a wide variety of options so you can focus your search very precisely.

After you locate one or more workflows or work items, you can use Process Administrator to make various changes to the work in progress, such as:

  • Complete a step and send it on to the next step.
  • Modify workflow field values.
  • Assign users to or remove users from a workflow group.
  • Delete an entire workflow or one or more work items.

For further information about Process Administrator, see Process Administrator online help.

Process Tracker

Process Tracker provides at-a-glance status of a workflow that is currently in progress. With Process Tracker, you can tell what steps have been completed, when they were completed, and which steps are currently active.

While trackers are the primary audience for the Process Tracker tool, workflow administrators can use Process Tracker as well. Process Tracker provides a sub-set of the editing capability provided in Process Administrator; however, Process Tracker also provides a graphical view of the workflow's status that is not available in Process Administrator.

For further information about Process Tracker, see Process Tracker online help.
