Defining users and groups (Open Client/FileNet Web Services)

Users who will create workflow definitions, launch or participate in workflows, or monitor and manage workflows must have access to both the Image Services (IS) and Content Services (CS) security systems. You can add users and groups to the IS and CS security systems in several ways. You can use the IS and CS security system tools directly to create users and groups, you can import users and groups from a Windows domain, or you can import users and groups from an LDAP server. Note that the LDAP logon option is available for Open Client only.

The procedures for adding users and groups to Image Services and Content Services appear below. For information on importing users and groups from a Windows domain, see Configuring unified logon. For information on importing users and groups from an LDAP server, see Configuring LDAP logon.

NOTE LDAP logons are not supported in Process Task Manager or the features it manages. At a minimum, you should create user accounts using the IS and CS security system tools for the Component Manager and any routers you create. Avoid using the system-created user accounts created for Process Engine to run these features.

To add users to the Image Services security system

  1. Log on to the Process Engine as a user with administrator rights.
  2. Start the Process Task Manager.
  3. Select the Process Service node.
  4. Select Action > Security Administration.
  5. On the Logon dialog, log on as a user with administrator rights.
  6. On the Application Executive dialog, select Applications > Security Administration.
  7. On the Security Administration dialog, select Users > Add User.
  8. Complete the Add User dialog as follows.
    1. In the Name box, specify a user name for a workflow participant.
    2. In the Domain:Organization box, select the Network Clearing house (NCH) domain and the organization where you want to add the user. Typically, the Domain is the current machine name and the Organization is FileNet.
    3. Click OK. A second Add User dialog appears.
    4. Complete the Add User dialog. See "Add Users" in the Security Administration chapter of the Image Services System Administrator’s Handbook for information on completing this dialog.

      NOTE The Image Services documentation is available on the FileNet web site at http://www.css.FileNet.com. Once you log on to the site, proceed to Product Tech Info > Image Manager (IM) > Image Services (IS) > Product Documentation and select the appropriate version link for your system.
    5. Click OK to save the user information and close the Add User dialog.
  9. Select System > Exit on the Security Administration dialog.
  10. Click Logoff on the Application Executive dialog.
  11. Click OK when prompted on the IS User Logoff dialog.
  12. Select File > Exit to close the Application Executive.
  13. Select File > Exit to close the Process Task Manager.

To add users in the Content Services security system

  1. Log on to the system where the CS Explorer is installed.
  2. From the Start menu, select Programs > FileNET Panagon IDM > CS Explorer
  3. Log on to the CS Explorer as an administrative user.
  4. In the left pane, right-click on Users, and select New User from the context menu.
  5. Complete the New User dialog. See "User Properties " in the CS Web Explorer Help for information on completing the fields on this dialog.

  6. Click OK to add the new user.
  7. Click Log Off and then click Yes when prompted to confirm that you want to log off the system.
  8. Click File > Exit to close the CS Explorer.
