About milestones

To track the progress of a workflow, the workflow author can define key points (milestones) in the workflow. On the workflow map, a milestone can be placed either before or after a General step, or after the Launch step. When the running workflow reaches a milestone, an author-specified message is written to a log file and, depending on its author-specified level (1 to 99), the milestone displays for workflow participants, trackers, and the user who launched the workflow.

Where a milestone and its message are displayed

For a workflow participant

  • Workplace: In an open work item, the participant can view a list of milestones reached in the workflow. The milestone level site preference (set on the Application Engine) determines the milestones listed. For example, if the site preference is set to 5, reached milestones of levels 1, 2, 3, 4, and 5 will be listed.
  • FileNet Web Services Client: In an open work item, if a level 1 milestone has been reached, the Milestone tab lists that milestone and its message.
  • Open Client: In an open work item, reached milestones and their messages display on the Milestone tab. The milestone level site preference determines which milestones display. For example, if the site preference is set to 5, reached milestones of levels 1, 2, 3, 4, and 5 will be listed.

If the Status button is available on the open work item page, the workflow participant can display the Tracker page and view milestones. For details, see "For a tracker" below.

For a user who launched a workflow

  • Workplace: A participant can open an item in Workplace Tasks/Launched Workflows to see which milestones have been reached in a workflow he or she launched. The milestone level site preference (set on the Application Engine) determines the milestones listed. For example, if the site preference is set to 5, reached milestones of levels 1, 2, 3, 4, and 5 will be listed.

    In addition, if the Workplace user preferences for email notification specify Originator Notification for milestone reached, an email message will be sent to the user who launched the workflow when a level 1 milestone is reached.

  • FileNet Web Services Client: A participant can open an item in Personal Work Manager/Milestone Tracking to see which level 1 milestones have been reached in a workflow he or she launched. Alternatively, the workflow originator can view level 1 milestones in workflows he or she launched by entering the following URL: <webservername>/idmws/redist/wf_milestone/workflowSelectionList.asp

    In addition, if the Originator user preference is enabled, an email message will be sent to the user who launched the workflow when a level 1 milestone is reached.

  • Open Client: A participant can open an item on the Process page/Launched Workflows tab to see which milestones have been reached in a workflow he or she launched. The milestone level site preference determines the milestones listed. For example, if the site preference is set to 5, reached milestones of level 1, 2, 3, 4, and 5 will be listed.

    In addition, if the Originator Notification user preference for milestone reached is enabled, an email message will be sent to the user who launched the workflow when a level 1 milestone is reached.

For a tracker

In an open tracker work item, the Milestones tab lists all milestones defined in a workflow. The user can specify the milestone level (1 - 99) that is displayed. If a milestone has been reached, its message displays; otherwise, only the name of the milestone displays. In addition, if the user preferences for email notification specify Tracker Notification for milestone reached, an email message will be sent to the tracker when a milestone is reached.
