Add or edit a workflow link

Add or edit links from a workflow to a document class, document, or another workflow in the Process Link Property dialog. To access this dialog, see Manage workflow links.

NOTE You must log on as a member of the Administrator's group on the Content Services (CS) library to create, edit, or delete links between a workflow definition and a document or a workflow definition and a document class.

To add a link from a workflow definition to a document class or document

  1. On the Process Link Property dialog, select the version of the workflow definition for this link. See Manage updates to workflow definitions for addition information about multiple versions.
  2. Select either the Document or Document Class radio button.<
    • For Document, click Browse, then locate and select the individual document to link to this workflow definition. The document you select could be another workflow definition (<filename>.pep), though such usage is uncommon.
    • For Document Class, select the document class to link to this workflow definition.
  3. Enter a name for this link. A list of workflows displays, allowing the user to choose a workflow to launch.
  4. Enter the subject of the workflow.

    The subject text displays as the subject of each work item in the running workflow. This subject text replaces the original subject specified by the workflow author in the workflow definition. This subject text also becomes the subject in the list of document classes and documents linked to this workflow.
  5. Select the launch type:
    • Manual: A user can launch this workflow from this workflow definition by selecting a linked document or a document from a linked document class.
    • onAdd (Document Class only): The workflow is launched automatically when a document is added to the selected document class.
    • onCheckin: The workflow is launched automatically when the document that is linked to this workflow definition is checked in to the library.
    • NOTE  Your system must be configured for automatic launch for this feature to work at runtime. For instructions, see Launch daemon (automatic workflow launching) and Integration in the Help for Process Services Administrator.

      In addition, as part of automatic launch you can optionally copy values from the launching document's properties to data fields in the workflow. See Save document class properties to data fields on launch for details.

  6. Click the Condition button to specify document properties if you wish to limit the conditions that can launch the workflow.

To edit an existing link

Following the appropriate steps above, modify one or more items in the selected link:

  • Change the link name
  • Change the workflow subject
  • Change the launch type

NOTE Links from a workflow definition to documents or document classes are specific to the workflow definition version. If a workflow definition changes, a new version is created. To use the new version, you must create links from the new version to the document classes and documents; see Manage updates to workflow definitions.
