About viewing a workflow

Process Tracker displays a combination of information from the workflow definition, the values in the active work items, and the event logs. The Process Tracker main window is divided into the following areas:

  • The workflow map shows the steps and routes defined for the workflow. The currently active work items are indicated with the "in progress" symbol. Steps that have been traveled are indicated by the "completed" . See Process Tracker symbols for additional symbols.
  • The properties pane at the right side of the window shows the details of the selected item—the workflow, a step, or a route.
  • NOTE If you open Process Tracker using the Status button on a work item page, the Properties pane displays only if you are assigned as a tracker for this workflow.

  • The history pane at the bottom of the window shows historical information extracted from the event logs:
    • The Milestone tab lists milestones defined for the workflow. A milestone that has been reached displays the specified message.
    • The Workflow History tab lists steps that have executed on each map, both completed and in progress.
    • The Step tab displays historical information about the selected step. Only active steps and steps that have been traveled display information
    • The Work Item tab lists the step, status, and other information for active work items.

For steps, the source of information depends on the state of the step, as shown in the table below.

Visited step—one or more work items for this step have already been completed.

Process Tracker displays the historical information stored in the event logs—the amount of information available to you depends on the event logging options your system administrator has chosen. Process Tracker displays field values only for an active work item.

Active step with access privileges—work items are currently at the step, and the user has access privileges to the associated queue.

Process Tracker displays the work items, including the current field values. If this is a multi-participant step, Process Tracker displays the common values. If the values differ from one work item to another, it displays <Various values>.

Active step with no access privileges—work items are currently at the step, but the user does not have access privileges to the associated queue.

Process Tracker displays information from the workflow definition as well as historical information stored in the event logs. However, Process Tracker does not display the work items. For information about how your logon affects your ability to complete various tasks, see About workflow security.

Unvisited step—has never had work items in the associated queue.

Process Tracker displays information from the workflow definition.

Steps can combine more than one state. Steps that have more than one participant can be a combination of active and completed. And since a step can be visited more than once, a step can have one or more occurrences that are complete as well as an active occurrence.
