Edit attachment contents

To access the contents of an attachment listed on the Attachments tab, click the name of the attachment to display the Attachment Contents page. If an attachment is defined as an array (a collection of documents, folders, and so on), the access privileges specified for the attachment determine whether you can specify the target of each array element and add or delete array elements.

In the illustration below, the attachment is an array with three items.

Attachment Contents page

On the Attachment Contents page, use the tools on the Attachment toolbar to perform the following actions:

Operations on the selected attachment

Add New

For the selected attachment array, add a new array element. Click Add New, then specify the target to assign to the array element. See Edit attachment array for additional information.

Delete

For an attachment array, remove the selected array element.

Select a target assigned to the attachment, then use the tools on the toolbar to perform actions on the target.

Operations on the selected target

Assign

Assign a target.

Click Assign on the toolbar, then do one of the following, depending on the location of the target:

  • If the target is in a CS or IS library, open the appropriate library and browse or search to locate the target (document, folder, stored search, and so on) to assign to this attachment.
  • If the target is either a file on a shared disk or a web address, click Other (in the colored bar at the top of the page), then select the appropriate option—UNC for a file, or URL for a web address—then enter the location of the file or web site.

For UNC, click Browse to locate the file, or type the path and filename.

For URL, type the URL beginning with http://

Unassign

Remove the assigned target from the selected attachment.

JavaView

View the target using the selected viewer.

Open

Open the target in an appropriate application available on your machine.

If the target is a folder, a Browse page displays the contents of the folder where you can select individual items within the folder. You can then use the tools on the toolbar to perform the appropriate operations on the selected item. Note that although the Link Workflow and Launch Workflow toolbar buttons appear to be enabled, you cannot link or launch a workflow from the target.

CheckOut

Check out the selected target from a library.

CheckIn

Check in the previously checked out target.

Cancel
Checkout

Cancel checkout of the target.

Properties

Display the properties of the target.

When you have finished, click Apply to save your changes and return to the Attachments tab, or click Cancel to return without saving.
