Assign/reassign work

It may be necessary on occasion to assign or reassign a work item. For instance, you may want to reassign all work assigned to a workflow participant who has been transferred, or you may want to expedite a workflow in an unassigned work queue by assigning it immediately to an eligible participant. You can use Process Administrator to make the necessary changes.

Each row in the results table represents a workflow or work item. You can perform any of these actions on one or multiple rows. You can also perform these actions in combination on the selected rows.

Do not assign or reassign work items in the Conductor system queue. Work items usually go to the Conductor queue as a result of an error. You should resolve the error, then complete the work to return it to the step where the error occurred.

To assign or reassign work

  1. In the results pane, select one or more rows to process. To assign or reassign work, the work must currently be in an unassigned work queue or a user's inbox. Process Administrator ignores rows that you select that do not meet these requirements.
  2. From the Tasks menu, choose Assign/Reassign Work.
  3. In the From section, select one or more rows that you wish to assign or reassign to the same participant.
  4. In the To section, select a user name. This is the participant to whom all eligible selected work will be assigned. See Participant selection for additional information about selecting participants.

    NOTE  For systems using Active Directory, if a base group has been set above Users and Groups, members of that Builtin group will be available for selection in user and group lists. These users should not be used as workflow participants.

  5. Enter any comments in the Enter comments box. You can choose to append your comments to the current comments or to replace the current comments with your comments, by selecting Append or Replace.
  6. To have the workflow automatically returned to the currently assigned participant once the new participant has completed it, check the box beside Have the currently assigned participant approve the work. This does not apply to work in a process queue.
  7. Click OK if done, or Apply to apply the changes and continue working in this dialog box.
   

NOTE Changes made at the workflow level affect all work items contained in the workflow, and the values currently displayed do not necessarily represent the values of the underlying work items. See Workflows vs. work items for more information about the ramifications of updating at the workflow level.
