Working with attachments, fields, and workflow groups

The work item displays any attachments, data fields, and workflow groups required to complete that step in the workflow. The work item page only includes attachments, fields, and workflow groups if these parameters are used in this step of the workflow. These parameters might be read-only, or you might need to enter data as part of the processing for the work item. Your access for each parameter in the work item is specified in the workflow definition. The instructions for the work item should provide information regarding what you need to do with each parameter.

Attachments

The Attachments tab provides access to specific information used to complete the step such as a document in a Constent Services (CS) library. See About attachments for general information on attachments.

Each attachment either identifies a specific target or has no value, meaning that no target has been assigned. Use the buttons on the Attachments toolbar to assign or unassign a target to an attachment, or open a target assigned to an attachment. See Specify attachments or Edit attachment array, as appropriate.

The access privileges specified for each attachment determine whether you can change the target assigned to the attachment.

  • Read privilege displays the name of any target assigned to the attachment. You cannot change the assigned target.
  • Write privilege allows you to assign a different target to the attachment, although the name of the currently assigned target (if any) does not display.
  • Read and write privilege displays the name of a target assigned to the attachment (if any), and you can assign a different target.

NOTE An attachment is only a reference to a target and does not ensure that you have access to open the target. If you do not have access to the assigned target, the toolbar buttons and context menu items are disabled.

Data Fields

A data field displayed on a work item page can be informational only or it can allow you to change the value as part of completing the step.

  • Read privilege displays the current value of the data field, but you cannot change it.
  • Write privilege allows you enter a value, but does not display the current value (if any).
  • Read and write privilege displays the current value (if any) and allows you to change the value.

Note that there are default values for all data types except strings, so the values of these fields are not blank unless the field has Write access:

  • Float: 0.0
  • Integer: 0
  • Time: systemtime()
  • Boolean: True

See Specify data field values to change or designate the values of a data field.

Workflow Groups

A workflow group listed on a work item page can be informational only or can allow you to specify participants for the group. If the workflow group is specified as a participant for a subsequent step in the workflow, your changes will be in effect for that step.

  • Read privilege displays the list of users specified for the workflow group, but you cannot change the list.
  • Write privilege allows you to modify the list of users, but does not display the current list.
  • Read and write privilege displays any current list of users for the workflow group and allows you to change it.

See Specify workflow groups for the procedure to assign participants to a workflow group.
