Although data abounds in today's business environment, finding the right data for business decisions is far from easy. IBM introduces additional end user platform support for the IBM DataGuide (TM) product family, providing users on Windows+ and on Lotus Notes** with an Information Catalog capability to efficiently locate data for the support of their business decisions. IBM DataGuide for Windows, 1.0, and IBM DataGuide for Lotus Notes, 1.0, are the two new members of DataGuide family, which will complement IBM DataGuide/2 Version 1 and IBM DataGuide/MVS Release 1, which are already available. With a graphical user interface consistent with the operating environment, DataGuide for Windows and DataGuide for Lotus Notes provide end users with easy-to-use functions to look up data and information objects that are to be shared in the workplace. Once the object of interest is identified, DataGuide can invoke decision support and desktop tools available from the operating environment to retrieve and process the data. The DataGuide administrator function, with its extensive set of utilities to extract object definitions from various sources, provides a common point of control for gathering and organizing information for the catalog for all the end user environments: OS/2 (R), Windows, and Lotus Notes. DataGuide stores its object definitions in a database on DATABASE 2 (TM) (DB2 (R)) OS/2 (DB2/2 (TM)) Version 1 on LAN, or on DATABASE 2 on MVS when connected with IBM SAA (R) Distributed Database Connection Services/2 (TM) -- Version 2 (DDCS/2 V2). Also introduced today are three DataGuide starter packages that make it easier to order and get started. Based on the primary end user environment, the customer can select one starter package which comes with one DataGuide administrator and four users for either the OS/2, Windows, or Lotus Notes environment. The customer can subsequently add additional users for any of the environments to accommodate growth and mix-and-match requirements. The IBM DataGuide family of products, including the new IBM DataGuide for Windows, 1.0, and IBM DataGuide for Lotus Notes, 1.0, introduced today, provides a solution in this area by supporting an Information Catalog for the workplace. DATAGUIDE AS AN INFORMATION CATALOG The IBM DataGuide products provide an Information Catalog that helps non-DP-oriented end users easily look up data and information objects shared across an organization using familiar business terms. DataGuide Information Catalogs store descriptive properties of these data and information objects that exist throughout the enterprise. DataGuide allows users to formulate searches in order to locate objects based on their descriptive properties. Objects can be grouped logically into business-related areas. Navigation functions are available to locate objects in these groupings. Once the user identifies the object of interest, DataGuide can invoke available applications and tools to retrieve and process the data. DataGuide, working with decision support and desktop tools, provides a powerful solution for supporting end-user access to shared data in the workplace. Both information objects and data objects can be cataloged in DataGuide. Information objects include objects that carry information, such as spreadsheets, report and query outputs, documents, images; as well as objects that, upon execution, generate information, such as report and query specifications. Data objects include tables and views, as well as columns (data elements). Objects grouped by subject areas can be created to facilitate the organization of information. In addition, supporting objects such as a glossary for easy lookup of terms and definitions, contacts for identifying data owners, and news for providing status information, can be used to help end users effectively use the Information Catalog. DataGuide provides functions to satisfy information needed for end users as well as functions for the administrator. END USER INFORMATION NEEDS End users have indicated that when there is need for information: o The preferred approach for satisfying the needs is to help the user locate what reports or queries are available and readily usable. o If no reports or queries are available, then help the user locate data which can be used to formulate queries or reports. While the first approach can reach the broadest level of end users with minimal skill required, the second approach allows ad hoc information requests to be satisfied. Both ways are important and are supported by DataGuide. The end user capabilities are provided in DataGuide as described below. HANDLING OF INFORMATION OBJECTS: DataGuide can catalog two types of information objects -- those that carry information and those that generate information. These information objects can be searched by the end user either through pattern-matching on descriptive properties (including names) of these objects, or through quick scanning of groups of related objects. Once an information object is identified, the user can start an associated program to operate on the object. In general, programs which can be started from the command line of the underlying operating system and support execution parameters can be used. o When invoked from OS/2, programs can be an OS/2, DOS, or Windows program running under OS/2 2.1. o When invoked from Windows, programs can be DOS, or Windows. o When invoked from Lotus Notes, programs are based on the operating system the Notes client is running on. For example, from a Lotus Notes client on OS/2, OS/2, Windows, and DOS programs can be started. Programs invoked by DataGuide can be a spreadsheet, a query/report writer, a chart package, a table browser, a graphic package, a word processor, or a multimedia processor. In addition to accessing information on the LAN, a client program invoked by DataGuide can also access information from host servers on connected networks. When invoked by DataGuide in this manner, these programs provide powerful information delivery capabilities for end users, allowing them to obtain information at their fingertips in a transparent fashion. Without programming effort or data processing skills, any novice end user can use DataGuide to locate existing information objects and display those that are accessible. Users can also benefit from locating objects that cannot be accessed directly from a workstation. Instructions for logging on to a separate mainframe or contacting an owner of a hardcopy document can be provided in DataGuide. HANDLING OF DATA OBJECTS: DataGuide can be used to describe data objects including tables, views, and columns; as well as files and data elements. These data objects can be located by end users either through pattern-matching on descriptive properties of these objects, or through quick scanning through groups of related objects. Similar to information objects, once a data object of interest is found, such as a table or a view, an informational application may be invoked to perform a query or a report on it. This allows end users to transform data into information, even when there are no information objects predefined to process the data. End users can now manipulate, store, or print this information to meet their specific requirements. END USER PLATFORMS End users can access the Information Catalog from one of the following platforms that they are familiar with: o OS/2 2.1 using DataGuide for OS/2 (DataGuide/2) User o Windows 3.1 using DataGuide for Windows User o Lotus Notes 3.0 (or higher) using DataGuide for Lotus Notes User ADMINISTERING DATAGUIDE DataGuide provides the administrator with a graphical user interface to facilitate installation, customization, population, and organization of the Information Catalog. The administrator function (provided in the starter packages) serves as a common point of control for setting up the Information Catalog for use by multiple users who may be on OS/2, Windows, or Lotus Notes. The Information Catalog is stored in DB2/2 on the LAN, or DB2 on MVS via the DDCS/2 gateway, for access by users on OS/2 or Windows; and can be imported to a Lotus Notes database for access by users on Lotus Notes. The DataGuide administrator function is shipped with a starter set of object types and properties, which are tailorable and extensible by an administrator for an organization's use. The starter set includes object types such as tables/views, columns, dynamic reports, completed reports, images, programs, business groups, contacts, glossary, and news. A sample Information Catalog is also provided, allowing for ready installation verification and demonstration of the product. To help collect metadata (description of data objects and information objects) for the Information Catalog, an extensive set of extractor utilities is provided. The DataGuide administrator can set up multiple Information Catalogs to support user groups with different information sharing needs. Based on the tag language as a common format, metadata can also be exchanged among Information Catalogs with the Import/Export function. An Information Catalog for Lotus Notes is supported by exporting a Tag Language file from DataGuide, and then importing it into a Lotus Notes database. When the database resides on a Lotus Notes server, this Information Catalog can be accessed by multiple Lotus Notes clients. CUSTOMER VALUES ACCESS TO ENTERPRISE DATA: Easy access to enterprise data is among the highest requirements in IBM customer surveys. Today, most enterprise data is not available to knowledge workers because they don't know the name for it and they don't know where in the enterprise it is located. DataGuide will help describe enterprise data in business terms and can launch applications to access it. IMPROVED KNOWLEDGE WORKER PRODUCTIVITY: Many companies have found that their knowledge workers spend 80% of their time locating information, leaving only 20% time analyzing and using it. DataGuide can help reduce the time for locating information, thereby leaving more time for better analysis and decision support. PRODUCT POSITIONING DATAGUIDE AND INFORMATION WAREHOUSE (TM) The DataGuide products implement the Information Catalog concept which serves as a delivery vehicle for the end users to find out, in their terms, what is in the "warehouse" of information and data resources. DATAGUIDE AND DECISION SUPPORT TOOLS The DataGuide products are closely affiliated with, and complementary to, decision support tools. DataGuide serves as a directory to information and data objects for the end users, allowing experienced as well as novice users -- including those who are currently hardcopy users, to look up information and data. Once located, a decision support tool, available under the operating environment, can be launched to access data, transformed into information, and formatted for presentation. DataGuide expands the use of decision support tools. By allowing end users to focus on information and data, DataGuide helps draw more potential users to decision support tools within an organization. Over time, many novice users will become familiar with the tools and can exploit their capabilities. DATAGUIDE AND DICTIONARIES DataGuide is business-oriented, supporting end users in locating and accessing information and data. The traditional dictionaries are DP-oriented, supporting application and database developers and administrators in developing and managing data resources. DataGuide catalogs a wide range of information and data objects such as spreadsheets, charts, reports, tables, queries, images, video, and can help end users access them via decision support tools; these capabilities are typically not included in traditional dictionaries. DataGuide and dictionaries have complementary roles in the life cycle of metadata. The metadata is created in dictionaries for support of database administration and application development. As the database schemas and applications go into production status, the metadata in the dictionary becomes an excellent source for import into DataGuide. IBM DataAtlas for OS/2 Version 1.0, announced on October 4, 1994 (refer to Software Announcement 294-647), is an example of a modern, LAN-based dictionary. As announced, a function will be provided in a future release of DataGuide to allow for data descriptions from DataAltas to be imported into DataGuide. DATAGUIDE AND VISUAL DOCUMENT LIBRARY IBM Visual Document Library is intended primarily for text-oriented environments in which creating, revising and managing documents are the most important needs. It provides a library management system for storage, organization, and retrieval of business documents. DataGuide is an Information Catalog for organizing and locating all forms of business information and data objects. These information and data objects are not stored within the catalog; they can be accessed, however, by launching available applications.
